Business Mgr 3 Retail Job Category: Retail Management Requisition Number: BUSIN004571Full-Time RemoteArdmore, OK 73401, USADescription Key ResponsibilitiesDeal Intake & CoordinationReceive and manage original deal files from the General Manager after deal approvalCoordinate with General Manager and Finance Manager to initiate deal processingEnsure all documentation is complete and accurate from the outsetFinancial Oversight & Closing PreparationPartner with Finance Manager to prepare deals for closingCompile and submit all contractor bids ("hard bids")Prepare Cost Worksheets and Commission Sheets prior to closingVerify all financials align with approved deal structure and profitability targetsContractor & Project ManagementServe as the primary point of contact for all contractorsObtain and evaluate bids; coordinate project scope and timelinesSchedule all construction and manage timelines to meet closing deadlinesConduct regular (weekly or more frequent) check-ins with contractorsEnsure all work is completed as agreed and on scheduleCustomer & Vendor CommunicationCommunicate directly with customers to provide updates and obtain approvalsFacilitate Cost Worksheet approval via email or faxCoordinate with lenders and vendors to ensure timely completion of all requirementsQuality Control & ComplianceOrder and manage required site checks and inspectionsVerify completion of work through photos and required documentationMonitor vendor billing and report discrepancies immediatelyReview all customer information for accuracy prior to closingProcess and scan original customer files to corporate in compliance with company standardsClosing CoordinationPrepare all closing documentsSchedule closings with customers and title companiesEnsure all conditions are met prior to closingAuthorize or coordinate key release to customer upon completionSystems & ReportingMaintain accurate inventory and records using internal systems (e.g., ProSys)Enter Purchase Orders and build homes/projects in system upon order confirmationMaintain daily deal tracking and update statuses consistentlyUse deal tracker in daily communication with General ManagersAdministrative & Operational SupportSubmit finalized Cost Worksheets to General Manager (and Regional VP as required)Serve as backup for time management functions in UKGAssist with employee status change forms and administrative processes as neededKey Skills & Competencies Strong organizational and project management skillsExcellent communication and coordination abilitiesHigh attention to detail and accuracyAbility to manage multiple projects and deadlines simultaneouslyProblem-solving and decision-making skillsFinancial and operational acumenSuccess Metrics Deals closed on time and within budgetAccuracy of cost and commission documentationContractor performance and timeline adherenceCustomer satisfaction and communication effectivenessCompliance with internal processes and documentation standardsQualifications Behaviors Required Detail Oriented: Capable of carrying out a given task with all details necessary to get the task done wellPreferred Team Player Works well as a member of a groupMotivations Preferred Self-Starter: Inspired to perform without outside helpEqual Opportunity Employer This employer is required to notify all applicants of their rights pursuant to federal employment laws.
