Job Title: Workplace Experience Coordinator - SchedulingLocation: San Francisco (fully onsite)Duration: 12 months contract (potential extension)Pay Rate: $95/hr on w2Interview Process: 3 rounds (final round onsite)About the Role:We are seeking a Workplace Experience Coordinator – Scheduling to manage day-to-day scheduling for internal meetings across our Executive Business Center (EBC) and amenity spaces. You’ll own the shared room calendar, coordinate meeting logistics, resolve scheduling conflicts, and ensure spaces are ready for meetings and events.This role is ideal for a highly organized, diplomatic professional with strong Google Calendar and Slack experience who can manage frequent changes while providing excellent workplace service.Key Responsibilities:Own the meeting-room booking queue, including requests, room selection, confirmations, holds, cancellations, and recurring bookings.Monitor calendars for double bookings, room-fit issues, and scheduling conflicts and provide alternative solutions.Coordinate day-of meeting logistics with Facilities, AV/IT, and Hospitality teams.Communicate with meeting hosts, Executive Assistants, and administrative teams regarding space availability and booking changes.Support room setup/breakdown, events, workplace programs, and room resets.Maintain booking records, room-usage information, and scheduling procedures.Provide backup front desk coverage when needed.Qualifications:2–3+ years of experience in scheduling, administrative/executive support, event coordination, or workplace operations.Hands-on experience owning a shared calendar or room booking system.Strong Google Calendar, Google Workspace, and Slack skills.Excellent organization, communication, and conflict-resolution skills.Experience working with EAs, Facilities, AV/IT, Security, or workplace teams.Comfortable working independently in a fast-paced environment.Willingness to support room resets, events, and front desk coverage.Able to work fully onsite in San Francisco and meet the physical requirements of the role.Preferred:Corporate office, executive briefing center, hotel, or conference center scheduling experience.Room booking or visitor management systems.Executive support experience.Technology company or fast-paced workplace experience.Front desk/reception or hospitality experience.
