This role is critical to maintaining the firm’s financial integrity and ensuring accurate, timely, and compliant billing for services rendered to clients.The Billing Coordinator will work closely with Partners to compile, manage and execute attorney billing and resolve billing-related issues. We are looking for a candidate who can thrive in a fast-paced, collaborative environment and contribute significantly to the Firm’s goals and growth.ResponsibilitiesProcess and deliver a high volume of attorney client bills with accuracy and efficiencyReview and edit pre-bills in response to attorney and support team requestsApply retainer and on-account credits under attorney direction and in line with Firm policyHandle write-offs in accordance with established Firm guidelinesExecute complex billing tasks, including multi-discount and split-party billing, and produce electronic bills in a timely manner.Submit invoices electronically and assist in resolving issues that might arise, ensuring a smooth client billing processVerify supporting billing documentation for accuracy, as requiredInvestigate and resolve billing discrepancies and client inquiries with speed and professionalismGenerate billing schedules and perform billing analysis as neededServe as a key billing liaison between attorneys, secretaries, and clientsPrepare and distribute monthly Partner reports and provide report comments for the Finance Committee and Partner-facing communicationsParticipate in Partner and management meetings to review unbilled matter comments, matter on-accounts and e-billing issuesWork closely with the Collections team to resolve accounts receivable issues and minimize credit balancesProvide backup support to colleaguesMaintain accurate, audit-ready records and support internal and external compliance effortsHelp implement and refine billing systems and procedures to enhance efficiency and contribute to strategic special projectsSupport Finance during month-end and year-end billing cyclesPerform other duties as assignedEducationRequiredHigh School diploma or GED equivalentPreferredBachelor’s degree from four-year college or university or equivalent combination of education and experienceSkills & ExperienceRequired SkillsSolid understanding of legal billing practices and experience with timekeeping and billing softwareStrong analytical, organizational, and problem-solving skillsExcellent communicator with the ability to interact professionally with attorneys and support staffProficient in Microsoft Office, particularly ExcelHigh integrity, discretion, and a detail-oriented approach with a commitment to accuracyCapable of working independently and collaboratively in a team environmentSkilled in using an accounting calculatorAdept at prioritizing, planning, and managing multiple tasks to meet deadlines in a fast-paced environmentFlexible and adaptable, with the ability to handle changing priorities and workload demandsWillingness to work additional hours when necessaryRequired Experience1 to 2 years of billing experience in a large law firm requiredPreferred ExperienceA minimum of 1 to 2 years of finance, accounting or e-billing experience in a law firmKnowledge of 3E billing system or comparable billing programSalary InformationNY Only: The estimated base salary range for this position is $80,000 to $95,000 at the time of posting.The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
