The ideal candidate is proactive, detail‑oriented, and a strong communicator. This role requires flexibility, quick learning, confidentiality, and the ability to troubleshoot issues, solve problems efficiently, and escalate when necessary.Duties/ResponsibilitiesMaintain coverage of the reception and front desk areaCoordinate with Information Technology (IT) to ensure adequate services and equipment are available for staffServe as the point-of-contact for all office mattersOrder and maintain supplies and office furniture inventoryDraft and edit executive-level correspondenceCreate documents, reports, letters, and presentationsProvide administrative support for projects and staff meetingsResearch governmental policies and procedures as assignedAssist with processing and submitting employee travel pre‑approvals, provide guidance to employees, and ensure timely, accurate submissions to SMSI clientsSupport the SMSI leadership team with administrative tasks in support of ongoing business operations (time and expense management, communications, purchasing, contract management, etc.)Support and assist the SMSI leadership team in preparing, updating, and delivering policies, procedures, plans, reference guides, and training requirementsRequired Skills/Abilities1 -2 years of administrative experience in a professional office environmentExcellent communication skills, both oral and writtenProfessional appearance and demeanorExperience scheduling meetings and maintaining calendars for conference rooms and the leadership teamAdvanced proficiency in Microsoft Office applications, including Teams, Word, Excel, PowerPoint, and OutlookExcellent organizational skills and attention to detailAble to multitask, work independently, and prioritize tasks efficientlyResourceful with strong problem‑solving skills in daily administrative supportHandles customer and visitors’ interactions accurately, professionally, and promptlyPositive and proactive collaboration and interaction with peers and team membersAbility to handle sensitive information with discretionOther duties performed as assignedEducation/CitizenshipHigh School Diploma or equivalentMust be a U.S. CitizenTravelSome travel may be requiredWork SettingProfessional environmentWorks in the Oak Ridge, TN office 5 days a weekWeekly schedule of 30 hours per week with additional hours as neededPhysical DemandsProlonged periods of standing, sitting, and walkingMay require lifting up to 15lbs
