Construction Administrative Assistant
The Administrator performs professional level accounting related tasks by producing AIA Invoicing, Schedule of Values, Change Orders, Contract updates and Budget revisions. This position is available in our Las Vegas office and the candidate will work with Project Managers and Field Supervisors to support them in their day-to-day functions. Duties will include providing administrative assistance to ensure cost effective and timely project completions by concentrating on specific duties outlined below.
DUTIES: (Including but not limited to)
· Assist Project Managers with Bid forms and acquire Bid Bonds.
· Manage Bid portals for Project Managers / track & upload bid documents.
· Enforce bid and contract requirements.
· Assist with contract negotiation (checking for correct retention, verifying addresses, inserting special clauses for material price increases, etc.).
· Complete/prepare any required contract forms for signature.
· Work with the Accounts Receivable & Accounts Payable teams as needed.
· Manage Certificates Of Insurance (COI).
· Manage Prelien notices.
· Manage warranty portals.
· Maintain project files and contract documents for record keeping and to ensure accuracy.
· Manage Change Orders.
· Subcontract Agreements: In conjunction with department managers, develop, distribute, and monitor status of subcontract agreements.
· Insurance: Coordinate with insurance team.
POSITION REQUIRMENTS:
· Fundamental knowledge of construction techniques, building materials, standards, and equipment.
· Ability to read, analyze and interpret legal documents, financial reports, and technical documents.
· Basic understanding of purchasing and supply chain procedures.
· Proficiency in common office applications.
· Good understanding of standard operating procedures (SOPs) and occupational, safety and environmental regulations and law.
· Organizational skills. (This is key, there is a high volume of tasks in this role.)
· Microsoft Office including Outlook, Excel, and Word. Computer Ease and Dataforma experience are a plus but not required.
· Excellent verbal and written communication skills.
· Strong attention to detail to mitigate errors or potential issues that could lead to any company risks.
· Possess impressive focus.
· Bilingual in Spanish is preferred but not a requirement for eligibility.
Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year
