Monday-Friday 9-5Salary: $45,427.00Program OverviewProject Renewal’s Healthcare Department is seeking a team-oriented, customer-focused, and strong multi-tasker for the Medical Office Coordinator position! Reporting to the Assistant Administrator of Clinic Operations in the Healthcare Department, the Medical Office Coordinator in close collaboration with clinical team members, program and facility staff to ensure that critical administrative and operational needs for the clinic are being met.Essential Duties & ResponsibilitiesThe essential duties of the Medical Office Coordinator include but are not limited to the following activities:Front Desk Support + Operation:Provide scheduled and ad-hoc coverage across shelter-based clinic locations when required:Welcomes and greets all patients and visitors, in person or over the phone.Answers the phone while maintaining a polite, consistent phone manner using proper telephone etiquette.Responds to inquiries by patients, prospective patients, and visitors in a courteous manner.Facilitates patient flow by notifying the provider of patients' arrival, being aware of delays, and communicating with patients and clinical staff.Registers new patients and updates existing patient demographics by collecting detailed patient information, including personal and financial informationServes as the clinic’s liaison and coordinates with case managers, shelter staff as needed for medical-follow up with shelter-based clientsConducts patient insurance eligibility verification using ePACES and other related systemsResponsible for keeping the reception area clean and organized, ensuring materials and signage are kept visible and up to date.Back office Support + Operation: In coordination with Healthcare Operations Manager, collects, verifies and / or updates demographics and other required information, including personal and financial information, for both new and existing patients in the electronic medical record system eClinicalWorksConducts patient insurance eligibility verification using ePACES and other related systems, scans eligibility reports, applications and other related documentation into the patient chartVerifies and updates primary care provider information and insurance information in patient recordsAssists patients in enrolling within the NY State Department of Health’s Insurance MarketplacePartners with Enrollment Specialist to assist in appropriate follow-up for pending and outstanding enrollmentsPartners with Revenue Cycle Manager and Medical Billing staff to ensure data accuracy and completes for proper claims submission / resubmissionProtects patient confidentiality, making sure protected health information is securedPerforms related tasks and duties as requiredQualificationsMinimum QualificationsHigh school diploma or graduation equivalency degree (GED)Minimum one (1) year work experience in a medical office settingBasic competency in Microsoft Office (Word, Excel)Substantial telephone etiquette, verbal and written communication skillsStrong time management, multi-tasking, organization, scheduling skillsStrong customer service / relationship management skillsWilling to travel to multiple sites/locationsWilling to adjust to different schedulesPreferred QualificationsAssociates DegreeKnowledge of clinical procedures usually obtained from a certificate or Associates degreeKnowledge of office procedures usually obtained from a certificate or Associates degreeExperience with the eClinical Works (eCW) electronic health record system a plusBilingual; fluency in Spanish preferred
