Utility CoordinatorBusiness Unit: Network Design & Construction (NKC)Pay Rate: $25.50/hourLocation: Washington StateSchedule:Fully Remote40 hours/weekTravel ~10%: Monthly team meetings in SeattleOvertime availablePosition OverviewThe Utility Coordinator plays a vital role in supporting the Fiber Network Design & Construction team by managing permit applications and coordinating utility documentation for construction projects. This position serves as a key liaison between internal project teams and external partners, including municipal agencies, utility providers, and permitting authorities.The ideal candidate is highly organized, detail-oriented, and confident working with data and financial tracking systems. Strong Excel skills are essential. Experience collaborating with government agencies, utilities, land use authorities, or jurisdictional entities is highly preferred.Key ResponsibilitiesPermit & Utility CoordinationReview and organize documentation from internal teams to support permit applicationsPrepare and submit pole and conduit applications to electric, telephone, cable utilities, and tower ownersSubmit NODE applications for power and equipment installationsResearch and apply through utility, co-op, and municipal online systemsTrack and manage permit applications from submission through approvalSubmit job completion documentation following construction closeoutFinancial & Invoice ManagementPrepare and submit purchase ordersProcess contractor invoicesReview, verify, and coordinate payment of field survey and make-ready billsAssist with budget tracking and financial reportingProject Tracking & ReportingMaintain accurate project tracking systems, including third-party management platformsMonitor deliverables, deadlines, and project milestonesGenerate recurring and ad hoc reportsEnsure project documentation remains complete, organized, and up to dateAdministrative & Team SupportDraft and distribute internal and external communicationsSupport meeting preparation and coordination activitiesMaintain project records, contact databases, and file integrityAssist with special projects and additional administrative tasks as assignedProvide support to regional teams and leadership as neededRequired QualificationsHigh School Diploma or equivalent (Associate's Degree preferred)1–3 years of project coordination and/or administrative support experienceMid-to-advanced Microsoft Excel skills (required)Proficiency in Microsoft Office (Word, PowerPoint; Visio preferred)Strong organizational and multitasking abilitiesExcellent communication and interpersonal skillsAbility to thrive in a fast-paced, deadline-driven environmentPreferred QualificationsExperience working with government agencies, utilities, land use, or permitting processesBasic knowledge of the telecommunications industryFinancial tracking or budget management experienceExperience working with municipal or jurisdictional entitiesAdditional DetailsFully remote within Washington State, with monthly in-person team meetings in SeattleMileage and internet expenses reimbursed per company policyWeekly Time & Expense submissions required
