Job Title: Scheduler / Client CoordinatorReports To: Office ManagerEmployment Type: Full-TimePosition SummaryThe Scheduler / Client Coordinator plays a critical role in ensuring high-quality, reliable non-medical in-home care services. This position is responsible for coordinating caregiver schedules, managing client communication, and supporting day-to-day operations to ensure continuity of care, client satisfaction, and caregiver engagement. Key ResponsibilitiesScheduling & Care CoordinationCreate, manage, and maintain caregiver schedules to meet client care plans and coverage needsCoordinate shift coverage for call-offs, vacations, and last-minute changesMatch caregivers to clients based on availability, skills, and compatibilityMonitor schedules to ensure accuracy, efficiency, and compliance with company policiesClient Coordination & CommunicationServe as a primary point of contact for clients and families regarding schedules and service updatesRespond promptly and professionally to client inquiries, concerns, and requestsCommunicate changes in care or scheduling clearly to clients and caregiversAssist with on boarding new clients, including scheduling start-of-care servicesCaregiver SupportCommunicate daily schedules, changes, and expectations to caregiversSupport caregivers with scheduling questions and time-related issuesTrack caregiver availability, preferences, and limitationsAssist with documentation related to attendance and scheduling complianceAdministrative & Operational SupportMaintain accurate client and caregiver records in scheduling and care management systemsVerify visit completion, timesheets, and schedule accuracyAssist with reporting, audits, and operational tracking as neededSupport coordination with management, care managers, and office staff QualificationsRequiredHigh school diploma or equivalentExperience in scheduling, customer service, healthcare, home care, or related fieldStrong organizational and time-management skillsExcellent verbal and written communication skillsAbility to multitask and work in a fast-paced environmentExperience with scheduling software, and basic office technologyPreferredExperience in non-medical home care, healthcare, or staffing coordinationKnowledge of caregiver scheduling platformsSkills & CompetenciesProblem-solving and decision-makingAttention to detail and accuracyCompassionate, client-focused mindsetAbility to remain calm under pressureProfessionalism and confidentialityWork Environment & ExpectationsOffice-based (Monday – Friday full time)May require on-call availability for scheduling emergencies / office rotationRegular interaction with clients, families, and caregivers Why Join UsMeaningful work supporting seniors and individuals in needCollaborative and supportive team environmentOpportunities for growth within a growing home care organization
