Job Description Executive Administrative Assistant (5 Days a Week On-Site)OverviewWe are seeking a highly driven, proactive Executive Administrative Assistant to support a senior executive in a fast-paced, high-growth environment. This role goes far beyond traditional administrative support—you will serve as both the operational backbone of the executive office and a key driver of the company's recruiting efforts.You will play a central role in building the team — partnering closely with leadership to identify, attract, and coordinate top talent — while also ensuring seamless communication, coordination, and execution across the organization.The ideal candidate is a confident, detail-oriented self-starter who thrives on ownership, urgency, and building infrastructure in a scaling environment.Key ResponsibilitiesExecutive Support & OperationsExecutive Support:Manage the executive's calendar, email, meetings, and daily priorities with precision and foresight.Operational Facilitation:Drive cross-functional initiatives forward by coordinating timelines, tracking deliverables, and ensuring accountability.Communication Hub:Serve as the central point of coordination across teams, ensuring alignment and proactive issue resolution.Organizational Glue:Act as the connective link between leadership and internal stakeholders to ensure clarity and execution.Trusted Right Hand:Take full ownership of day-to-day operational execution so the executive can remain focused on strategic priorities.Recruiting & Talent Acquisition (Expanded Scope)Recruiting Operations Lead:Own and manage the recruiting coordination process end-to-end — from role kickoff to offer stage.Candidate Experience Management:Serve as the primary point of contact for candidates, ensuring a professional, responsive, and high-quality experience throughout the hiring process.Interview Coordination:Schedule and coordinate interviews across stakeholders while maintaining speed and efficiency.Talent Pipeline Tracking:Build and manage recruiting trackers, dashboards, and reporting to ensure visibility into hiring progress.Leadership Partnership:Work directly with the executive team to prioritize hiring needs and maintain momentum on critical roles.Sourcing Support (Preferred):Assist with candidate outreach, LinkedIn sourcing, and initial screening coordination where needed.Process Improvement:Continuously refine and improve recruiting workflows to increase efficiency and candidate quality.Experience in AI and/or recruiting in technology-driven environments is highly desirable.Qualifications & SkillsProven experience supporting senior-level executives in fast-paced environmentsStrong experience coordinating or managing recruiting processes (startup experience preferred)Highly organized with the ability to manage multiple open roles simultaneouslyExcellent written and verbal communication skillsStrong stakeholder management and relationship-building abilityComfortable handling confidential and sensitive informationDetail-oriented with strong follow-through and accountabilityProactive, resourceful, and solution-oriented mindsetWhat Success Looks LikeThe executive's time is protected and optimizedCritical roles are filled efficiently with strong talentCandidates consistently report a positive, high-touch experienceRecruiting pipelines are organized, transparent, and moving quicklyCross-functional initiatives run smoothlyThe organization operates more efficiently because you are in the role Company DescriptionRightStaff was recognized by INC 5000 as one of the fastest growing companies in the nation.
