Executive Level Support
Position Summary:Ataero is seeking Executive Administrative Assistants to provide high-level administrative support to senior Department of Defense (DoD/DoW) leadership within a large Joint Program Office environment supporting an aviation program.This role requires professionals capable of operating in a fast-paced, high-visibility headquarters environment, supporting Senior Executive Service (SES), Flag Officers, and senior program leadership.Key Responsibilities:Manage complex executive calendars and scheduling using Microsoft OutlookCoordinate high-level meetings, Video Teleconferences (VTCs), and leadership engagementsPrepare and deliver:Briefing materialsRead-ahead packagesExecutive correspondenceTrack, manage, and assign taskings using ETMS2 or similar task management systemsMaintain situational awareness of leadership priorities, suspense actions, and deadlinesDraft, review, and route official correspondence for senior leader signatureCoordinate Distinguished Visitor (DV) visits and executive engagementsPrepare weekly status updates and leadership reportsEnsure all products meet DoD standards for format, quality, and accuracyAdditional Duties:Interface daily with senior military officers, SES, and government stakeholdersMaintain workflow/tasker systems and organizational prioritiesSupport Defense Travel System (DTS) actions including travel coordination and vouchersAssist with meeting logistics, conference room scheduling, and secure communicationsSupport continuous process improvement initiatives within the organizationMinimum Qualifications:Bachelor’s degree in a relevant field(Associate’s degree + additional relevant experience may be considered in lieu of a Bachelor’s degree)3+ years of experience supporting DoD or military headquarters environmentsStrong understanding of DoD administrative processes and protocolsActive Secret security clearanceRequired Skills & Competencies:Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint)Strong written and verbal communication skillsAbility to work independently in a fast-paced, high-demand environmentExceptional organizational and multitasking abilityExperience handling sensitive and/or classified informationPreferred Qualifications:5+ years of experience supporting senior military or civilian leadershipExperience supporting SES or Flag OfficersFamiliarity with ETMS2 or similar task management systemsExperience with DTS and DoD travel processesBenefits:Health, Dental, and Vision InsuranceLife and Disability Coverage401(k) Retirement PlanPaid Time Off + all Federal HolidaysTuition AssistanceCompetitive Salary Based on ExperienceTravel:Occasional travel may be required
