A Dental Patient Care Coordinator serves as the primary point of contact between patients and the dental practice. This role ensures a smooth and positive patient experience by managing appointments, coordinating treatment plans, handling billing inquiries, and maintaining effective communication between patients, dentists, and staff. The coordinator plays a key role in supporting both administrative and clinical operations to enhance patient satisfaction and office efficiency.
Key Responsibilities
Greet and assist patients in person, over the phone, and via email with professionalism and empathy
Schedule, confirm, and manage patient appointments using dental practice management software
Coordinate patient flow to ensure timely and efficient service delivery
Review and explain treatment plans, procedures, and financial options to patients
Verify insurance coverage, process claims, and handle billing or payment inquiries
Maintain accurate and up-to-date patient records in compliance with HIPAA and office policies
Communicate with dental providers and clinical staff to ensure accurate information exchange
Follow up with patients regarding treatment plans, recalls, and outstanding balances
Manage patient correspondence, including reminders, follow-ups, and satisfaction surveys
Assist with front office administrative tasks such as filing, data entry, and inventory management
Qualifications
High school diploma or equivalent; associate degree or dental office training preferred
Previous experience in a dental or medical office setting strongly desired
Knowledge of dental terminology, procedures, and insurance processes
Proficiency with dental practice management software and Microsoft Office Suite
Excellent communication, organizational, and multitasking skills
Strong attention to detail and ability to maintain patient confidentiality
Customer service-oriented attitude with a focus on patient care and satisfaction
