The Records Clerk, reporting to the Records Specialist for workflow and Information Governance Global Data/Records Manager for people interests, will work in close collaboration with peers across the organization. As a Records Clerk you will be ultimately responsible for securing Information Assets at a global level. You will help support the Legal Information Governance function sitting under Legal Compliance through effective management of corporate records including intake, imaging and physical storage.You will be required to attend the Irvine, CA office three days per week (Tuesday - Thursday).Salary RangeHourly Pay $18.50-$21.77 (Salary $38,500 - $45,300 + bonus eligibility). This is the expected salary range for this position. Ultimately, in determining pay, we'll consider the successful candidate’s location, experience, and other job-related factors.ResponsibilitiesPrimary Responsibilities:Imaging and filingDocument processing of imaging and filing activitiesLoose document imaging and filingCompleting customer requests for recordsCreate new filesOff-Site StorageResponsible for creating new boxes and assigning files to a specific boxHandle rush orders and ensuring delivery times are metResponsible for checking out and delivering all boxes/files to the appropriate end-users.Responsible for daily return of off-site boxes and filesCoordinate daily order of on and off-site boxes and filesTransferring records to storageDatabase MaintenanceAssist with record disposition updates annually per the destruction processManage change requests (system updates)Record activity documentationEnsure new records are properly inputAnnual Destruction RoutingUpdate database with destruction notes/statusUpdate database with notes regarding additional holdsWork with clients to verify inventory of boxes; answer questionsVerify application of litigation holdsLitigation HoldsUpdate database to apply or clear litigation holdSearch off-site storage inventory to identify pertinent recordsWork with Legal team to identify time-frame and keywordsAssists colleagues with box/file identification and requestsAssists with projects relating to records kept both onsite and offsiteManage change requests (system updatesMinimum Requirements1 year of experience in Records Information Management or related fieldExpert Knowledge of Microsoft products particularly Word, Excel, Outlook and PowerPointKnowledge of Microsoft O365, particularly SharePoint Groups and Kofax Capture a plusPreferred QualificationsExcellent customer service, communication and interpersonal skills projecting a professional image with a positive attitudeGood written and oral communicationDetail oriented and exceptionally attentive to accuracyAbility to learn skills quicklyAbility to work independently, setting goals and prioritiesAbility to work at the warehouse (on feet, no A/C, manual labor)Regular, predictable and full attendance; reporting to the local Headquarters records centerBe able to lift 50 poundsBenefitsEmployees (and their eligible family members) may enroll in the following types of insurance coverage: medical, dental, vision, legal, and accidental death and dismemberment, as well as FSA/HSA (depending on enrolled medical plan).
