Kairos is headquartered in Irvine, California.Job SummaryWe are seeking a highly trusted, detail-oriented Executive Assistant (EA) to support our Chief Executive Officer. This role demands exceptional judgment, discretion, and a unwavering commitment to integrity and confidentiality. The ideal candidate thrives in a fast-paced, high-accountability environment, anticipates needs before they arise, and operates as a proactive, strategic partner to the CEO. The Executive Assistant plays a vital role in safeguarding the CEO’s time, driving operational excellence, and managing sensitive business matters with the utmost professionalism.The Executive Assistant will also oversee overall office operations, ensuring a highly efficient and professional workplace environment. This role is also responsible for planning and executing corporate events and meetings, while providing oversight and coordination of related administrative functions.The Executive Assistant manages sensitive business matters with the utmost professionalism and understands that trust is earned through consistency, sound judgment, and absolute discretion.Job ResponsibilitiesServe as a trusted gatekeeper and strategic partner to the CEOManage complex calendars, scheduling, and prioritization of meetingsCoordinate domestic and international travel arrangements and itinerariesPrepare briefing materials, presentations, reports, and executive correspondenceHandle highly confidential information with absolute discretionFacilitate communication between the CEO and internal/external stakeholdersSupport board communications and executive leadership meetingsTrack key initiatives and follow up on action itemsOversee day-to-day office operations, including vendor management, facilities coordination, office administration, and ensuring a professional, well-functioning workplace environmentOversee the planning and execution of corporate events, leadership meetings, and company-wide functions, ensuring seamless coordination and high standards of deliverySupervise and provide direction to administrative staff, including setting priorities, delegating responsibilities, and ensuring high standards of performance and accountabilityImprove and streamline administrative processes to enhance operational efficiencyAnticipate challenges and proactively problem-solveQualifications & Competencies5+ years of experience supporting C-level executives (CEO support strongly preferred)Demonstrated ability to manage handling highly sensitive and confidential information with absolute discretionUncompromising integrity, sound judgment, and strong professional ethicsExceptional organizational and time-management skills with keen attention to detailStrong written and verbal communication abilitiesProactive, anticipatory mindset with a strong sense of ownership and accountabilityHigh emotional intelligence and ability to remain composed, resourceful, and adaptable in a fast-paced environmentAbility to balance meticulous execution with strategic awarenessProficiency in standard business tools (Microsoft Office, Teams, Concur, DocuSign, etc.)Ability to work in Irvine, CA office 5 days a weekComprehensive health benefits including medical, dental, vision, life and disability coverageAccess to Flexible Savings Account and Health Savings AccountGenerous paid time off programs including paid holidays, vacation, floating holidays and sick timeRetirement savings plan with 100% vesting on company matchCompensation:The annual U.S. based wage range for this full‑time position is $85,000 – $95,000 annually.
