Project Coordinator – Luxury Custom Residential Construction
We are a high-end custom home builder seeking a detail-oriented, highly organized Project Coordinator to support our Project Managers and Design team throughout the planning and construction process.
This is not an entry-level administrative role. The ideal candidate understands residential construction processes, thrives in a fast-paced environment, and is capable of managing multiple moving parts while maintaining a high standard of professionalism and accountability.
Position Summary
The Project Coordinator plays a critical role in facilitating communication between clients, design professionals, trade partners, and internal team members. This position supports both the Pre-construction and Construction phases of custom home projects and is integral to maintaining budget accuracy, schedule integrity, and operational efficiency.
Key Responsibilities
Pre-Construction / Planning Phase
Develop and manage planning schedules in collaboration with internal and external team members.
Coordinate with architects, structural engineers, surveyors, and landscape architects.
Assist in developing detailed Scope of Work documents.
Request, qualify, and compile subcontractor and supplier proposals.
Support cost estimate development and budget entry into Project Management software.
Assist with preparation of Planning Agreements and Construction Contracts.
Obtain building permits and required municipal licenses.
Coordinate ARB approvals and jobsite signage requirements.
Construction Phase
Prepare and manage Subcontractor Trade Agreements.
Monitor subcontractor insurance certificates and compliance documentation.
Assist with invoice review and job cost tracking.
Support change order review, approval, and processing.
Provide biweekly client update support.
Set up new trade partners and maintain required documentation.
Performance Expectations
High attention to detail in cost tracking and documentation.
Strong follow-through and proactive communication.
Ability to anticipate needs and remove friction from the project process.
Qualifications
Experience in residential construction or related field preferred.
Strong working knowledge of construction documentation and permitting processes.
Proficiency with project management software.
Excellent organizational and communication skills.
Professional demeanor suitable for interaction with high-end clientele.
Ability to manage multiple projects simultaneously.
