Apply today and take the first step towards a rewarding career as a Referral Coordinator with us at Villa.Referral Coordinator Duties and Responsibilities:Review referrals and coordinate clinically and financially appropriate admissions under the supervision of the Director of Villa Referral Management.Complete clinical reviews of referral documentation to determine appropriateness for admission, including review of medications, equipment needs, and medical conditions.Obtain necessary clinical, financial, and demographic information from referral sources.Coordinate with the Director of Business Development, Clinical Referral Coordinator, or Regional Director of Business Development for on-site assessments and follow-up as needed.Complete financial verifications to confirm insurance benefits and primary/secondary payer sources prior to admission.Ensure all payer requirements are met before admission and understand Managed Care policies and authorization requirements.Work with the Managed Care Coordinator to process admissions requiring prior authorization.Conduct criminal and sex offender background checks for all potential admissions.Communicate admission-related information with facility staff and physicians, including diagnoses, special needs, and equipment requirements.Respond to all admission and readmission referrals within 15 minutes through all communication channels, including eFax, Ecin, phone, and in-person inquiries.Communicate acceptance or denial decisions promptly to referral sources and Business Development team members.Maintain professional, efficient, and effective communication with all internal and external contacts.Follow established communication expectations with team members, leadership, facility staff, and referral sources.Maintain positive working relationships with external agencies, vendors, and Villa team members.Adhere to facility standards of practice, state and federal regulations, and Villa policies and procedures.Enforce and maintain compliance with the Villa Abuse Policy.Maintain confidentiality of resident and financial information in accordance with HIPAA regulations.Follow safety, infection control, and disaster preparedness procedures.Safeguard passwords and properly use all IT systems and equipment.Assist with team-related tasks and perform other duties as assigned by the Director of Referral Management.Referral Coordinator Skills and Abilities:Excellent written and verbal communication skills.Strong analytical and problem-solving abilities.Team-oriented with a cooperative and professional attitude.Basic knowledge of Medicare, Medicaid, and Managed Care Organizations.Strong customer service and interpersonal skills with a gracious and welcoming demeanor.Ability to multi-task and remain calm under pressure.Ability to read, write, speak, and understand English.Proficient computer skills, including Microsoft Office applications, Outlook, email, and internet use.Understanding of HIPAA compliance and confidentiality requirements.Ability to follow policies, procedures, and regulatory guidelines.Referral Coordinator Education and Experience:High School diploma or equivalent required.Minimum of 2–3 years of prior Skilled Nursing Facility (SNF) admissions experience required.High level of PC literacy preferred, including experience with Microsoft Office (Word, Excel, Access, Outlook, and Internet Explorer).Physical Requirements: Ability to walk, reach, bend, lift, grasp, push, and pull with or without mechanical assistance.Ability to sit for extended periods of time.Ability to distinguish smells and temperatures.Limited potential exposure to environmental hazards.Villa Healthcare Full-Time Benefits:Competitive Compensation 401(k) with company match Medical Insurance Dental, Vision, and Disability insurance Employee Assistance Program (EAP) Access to Villa Perks, an Employee Discount Program Innovative Training Programs Opportunity for Growth and Advancement Paid Time Off And much more!
