Echodyne offers its radars to companies working in Automotive, Transportation, Critical Infrastructure Protection, Border Security, Smart Cities, Uncrewed Aircraft Systems (UAS), and Airspace Management including Urban Air Mobility (UTM).Echodyne is seeking a Sr. Office Administrator to join our fast-growing team.ROLE OVERVIEWWe are seeking a proactive, highly organized, and detail-oriented Sr. Office Administrator to serve as the face of our office while owning day-to-day operations and elevating the overall workplace experience. This role requires strong ownership, sound judgment, and consistency in execution. The Sr. Office Administrator partners closely with HR and leadership to support employees, optimize office operations, and contribute to a high-functioning, engaging workplace.RESPONSIBILITIESFront Office & Administrative LeadershipServe as the primary point of contact for visitors, guests, and employees, delivering a professional and welcoming experienceOwn the front desk and lobby experience, ensuring an organized and professional environmentOversee visitor management processes, including check-in, badge tracking, and host coordinationManage incoming communications (voicemail and general inquiries) with professionalism and urgencyCoordinate incoming and outgoing mail, packages, and deliveries across common carriers (e.g., USPS, FedEx, Amazon)Act as a central hub for office coordination, resolving requests and directing needs efficientlyProvide operational and administrative support to leadership and cross-functional teamsCoordinate catering and meeting logistics, ensuring smooth executionOffice Operations & Facilities ManagementOwn daily office operations, ensuring a clean, functional, and well-maintained environmentMaintain shared spaces (kitchen, conference rooms, supply areas) to a high standardManage inventory of office and facility supplies, proactively monitoring usage and coordinating restockingIdentify and resolve operational gaps to improve organization, efficiency, and overall office functionalityManage vendor relationships (e.g., cleaning, facilities, catering), including scheduling, communication, and service qualitySupport ongoing office improvements and workplace initiativesEnsure shared spaces are consistently ready to support daily operations and meetingsHR & Employee Experience PartnershipPartner with HR to support recruiting coordination and onsite candidate experienceEnsure a smooth and welcoming interview experience for candidatesSupport onboarding logistics, including first-day readiness and orientation coordinationAssist with employee engagement initiatives and culture programsCoordinate logistics for company events, All Hands meetings, and team activitiesSupport HR processes and documentation as neededEvents & Special ProjectsPlan and execute onsite events, including vendor coordination, setup, and breakdownContribute ideas to enhance workplace culture and engagementSupport cross-functional projects and operational initiativesREQUIRED SKILLS / EXPERIENCE3+ years of experience in office administration, office management, or front office operationsProven ability to operate independently in a fast-paced environmentStrong organizational, communication, and multitasking skillsDemonstrated ownership mindset and problem-solving abilityProfessional, approachable demeanor with a strong customer-service orientationExperience supporting HR or recruiting coordination is a plusProficiency in Microsoft Office, Google Workspace, and general office systemsDemonstrates strong ownership of office operations, proactively identifying and resolving issuesExercises sound judgment in prioritization and day-to-day decision-makingAnticipates team and workplace needs and takes action before issues ariseActs as a trusted resource for employees, providing guidance and supportEstablishes and improves processes, systems, and workflows to increase efficiency and consistencyManages vendor relationships effectively to ensure high-quality service deliveryCommunicates clearly and professionally across teams, ensuring alignment and follow-throughBalances multiple priorities while maintaining strong attention to detailContributes to a positive, high-functioning office culturePartners with HR and leadership to continuously improve the employee experienceDesired Skills / Experience(Looking for one or more as a complement to the core skills)Ability to move throughout a large facility regularly and perform frequent walking throughout the workdayAbility to stand for extended periods while supporting front desk coverage, meetings, and eventsAbility to lift, move, and carry office supplies, packages, catering items, and event materials, occasionally up to 35 poundsAbility to assist with meeting and event setup/breakdown, including moving tables, chairs, and supplies as neededComfortable working in a fast-paced, highly interactive office environment with frequent interruptions and shifting prioritiesAbility to perform hands-on operational tasks in support of office functionality and employee experienceEchodyne's technology is export controlled by the U.S. Government and we must evaluate an applicant's eligibility to handle export-controlled information or obtain required Government authorizations.
