Administrative AssistantThe Administrative Assistance performs a variety of clerical, recordkeeping, customer service tasks to assist with the efficient operation within the assigned department. This position plays a crucial role in effective communication and organizational efficiency.Essential Job Functions:Answer phones and greet public and coworkers in a professional mannerPerform assigned duties independently, proactively identifying and implementing solutionsMaintain filing systems; retrieve information from records, emails, meeting minutes, and other documents; prepare written summaries as neededRespond to and resolve administrative inquiries and questionsSupport the overall mission of the assigned facilityManage day-to-day paperwork flow in the officeHandle incoming and outgoing mailResponsible for record-keeping and employee data trackingAssists human resources, recruiting and driver pay departments in daily operationsConduct research and analysis to provide valuable insights for strategic decision-makingWork closely with cross-functional teams to address any data-related issues and continuously improve data management processesSupport management in assigned projectsExecute precise and efficient data entry tasks within the Human Resources Information System (HRIS)Maintains confidentiality ensuring compliance with data protection and confidentiality lawsEmploy attention to detail in recording and updating information in relevant systemsAssist in planning and executing eventsCoordinate meetings and appointments and if applicable manage calendars for executivesArrange travel plans and accommodationsManage office supplies and inventoryResponsible for the certification of drug and alcohol collection proceduresPerform other related duties as assigned by managementQualifications:Required:High school diploma or equivalentValid Driver's license in state of residency with acceptable driving recordMust be able to pass a pre-employment drug test and submit to the company random drug and alcohol programProficiency in basic computer skills including Microsoft Office applications specifically Excel, Google Workspace, and 10 keyBasic understanding of clerical and administrative proceduresExcellent written and verbal communication skillsExcellent organizational and time management skillsAbility to solve problems as they ariseDiscretion when handling sensitive informationPreferred:Entry level experience as an administrative assistant or in a related roleExcellent organizational skills and attention to detailAbility to work in fast paced environment and meet deadlinesPhysical Requirements:The physical demands described here are representative of those that must be met by an associate to successfully perform the essential function of this job. This is mostly a sedentary office classification, although standing in outdoor work areas and walking between terminal, safety lane, and commercial motor vehicles (CMV) operating areas for short periods can be necessary. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator, and to operate standard office equipment. Positions in this classification occasionally bend, stoop, kneel, reach push and pull. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 20 pounds.Work Environment: The duties of this job are performed in both an office environment, a commercial motor vehicle terminal environment, and outdoors, thereby experiencing some minor to moderate level of noise due to office/CMV equipment.
