This position is supervised by the Service Operations Manager and VP. In general, the work schedule follows company hours of 8:00 a.m. – 5:00 p.m., Monday through Friday, with one hour for lunch. This schedule may be altered as business needs warrant. This position will be located in Ashland, VA.
Primary Responsibilities of the Service Administrative Assistant
Providing administrative assistance to the Service organization, specifically the Operations manager and Vice President, to ensure smooth day-to-day operations. The AA will possess strong communication, organization, problem solving, multi-tasking skills and administrative skills while also maintaining confidentiality.
Main Tasks of the Service Administrative Assistant
Support the Service Operations Manager and VP to handle correspondence, including reviewing documents, emails and reports
Work closely with the Operations Manager to keep them well informed of upcoming commitments and responsibilities and follow-up as needed
Coordinate projects, organize and plan events, meetings and conferences and provide administrative support
Handle sensitive and confidential information with discretion and professionalism. Ensure the privacy and security of all data and communications
Review Service Policy Invoices and provide feedback
Work with Sales Team and Operations Manager to quote service pricing
Service Team project tracking such as IWarehouse etc.
Weekly, Monthly, Annual Team meeting preparation
Customer Service Opportunity Management
Service metric review
Service Tool request management (budget management)
Regular and reliable attendance
Perform other duties as assigned
Skills and Personal Characteristics of the Service Administrative Assistant
Dedication to providing exceptional customer service
Strong administrative skills: analytical, organized, detail-oriented, flexible and spreadsheet/PC proficient. Proficient in the use of Microsoft Word/Excel/Powerpoint/Outlook
Excellent written and verbal communication skills: the ability to interact with customers, vendors and all levels of employees throughout the company in a tactful and appropriate manner.
Self-starter, a highly motivated individual with the ability to handle multiple tasks, interruptions and changing priorities, with strong emphasis on scheduling priorities.

High attention to detail and accuracy
Excellent organizational and time-management skills
Flexibility to adjust work responsibilities as job evolves and grows.

Have at least 3 years experience or equivalent education.
REQUIRED EDUCATION / EXPERIENCE:
5+ years of experience supporting Management leadership
5+ years of Microsoft Office experience
