This role requires a strategic thinker who can manage end-to-end production processes, collaborate with cross-functional teams, and ensure projects are delivered on time, within budget, and to the highest standard of quality. The ideal candidate is a solution-oriented problem solver with a passion for creating immersive brandexperiences.ESSENTIAL DUTIES AND RESPONSIBILITIES:Project Management:Coordinate Project Timelines, budgets, vendors, venues, production schedules, and all pertinent information between client and 424 team. Proactively keep projects on track meeting with Producers weekly to maintain project timelines, budgets, and deliverables ensuring alignment with client expectations.Monitor and manage project scope, addressing changes and ensuring they are effectively communicated and documented to all parties involved.Client Collaboration:Assist the Producer with client interaction, taking detailed notes in meetings and understanding their event goals and objectives.Collaborate with the Senior Producers regarding any client feedback and ensure it is effectively communicated to all important stakeholders and incorporated into project deliverables.Creative Execution:Collaborate with internal teams (creative, strategy, production) to translate concepts into actionable project plans.Coordinate development of event layouts, production schedules, credential lists, guest lists, and on-site coordination.Ensure brand consistency and adherence to client guidelines across all touchpoints.Vendor and Partner Management:Research, source, negotiate, and manage relationships with vendors, suppliers, and contractors.Assist with ensuring third-party partners deliver on agreed timelines and quality standards.Conduct on-site inspections to ensure compliance with project requirements.Budget and Resource Management:Assist with project budgets, tracking expenses, and reconciling costs.Help identify cost-saving opportunities while maintaining quality and client satisfaction.On-Site Event Management:Assist with leading on-site execution of events, ensuring smooth operations and addressing any issues in real time.Coordinate with teams to ensure seamless integration of all production elements.Oversee pre-production and onsite production.QUALIFICATIONS/KNOWLEDGE:3-5+ years of experience in event coordination and production in an experiential marketing/event agency.Proven ability to manage multiple tasks and projects simultaneously under tight deadlines.Strong understanding of event production processes, including understanding the flow of an event, managing vendors and coordination, and working closely with others to make things happen.Excellent communication and presentation skills; need to be comfortable in front of the client and work well with the 424 team.Proficiency in project management tools (e.g. Google Sheets/Slides, Excel/PowerPoint).Strong financial acumen and experience managing budgets.Availability to travel and work flexible hours, including weekends, as required.KEY COMPETENCIES:Strategic Thinking: Ability to take great notes during client meetings with a focus on pertinent information including concept, budgets, and timelines.
