Office Manager / Support Counselor (Combined Role) - Santa Rosa, CAMake a meaningful impact in the office and the community Alternative Family Services (AFS) is seeking a versatile Office Manager-Support Counselor to join our Santa Rosa team. This role blends in-office responsibilities with field-based support to youth and families in our foster care program.In this unique position, you will play a critical role in keeping our office running smoothly while also making a direct impact in the lives of foster youth clients out in the community. You will divide your time between managing office operations and supporting youth and families in the field as part of a collaborative treatment team.If you are highly organized, people-focused, and passionate about supporting vulnerable populations, this is an opportunity to do both administrative and hands-on work that truly matters.This is a full-time, benefited position. The schedule is primarily weekdays but could include occasional evenings and weekends.ResponsibilitiesOffice Management Welcome and assist clients, staff and visitors Answer incoming phone calls and be primary point of contact for the office Maintain organized, compliant systems, files and documentation Track data, maintain logs, and support audits and reporting Manage office supplies, kitchen supplies and overall office organization Coordinate meetings, trainings, and events; maintain meeting minutes Ensure compliance with HIPAA and regulatory requirements Maintain a safe, clean, and professional office environment Serve as site Safety Officer Direct Client Services / Community-based SupportDeliver direct support services such as mentoring, skill-building, coaching, tutoring, and crisis response. Serve as a reliable, positive presence for youth in their homes, schools, and communities. Provide safe and timely transportation to youth for appointments and activities. Document all contacts, visits, and services according to agency and county requirements. Maintain confidentiality and compliance with HIPAA privacy standards. Collaborate with caregivers, mental health clinicians, social workers, and other service providers. QualificationsA bachelor’s degree in a social science related field, 1-year clerical experience; OR, an associate degree in a social science related field and 2 years clerical experience; OR At least 2 years of office management experience or 3 years clerical experienceAt least six months experience of working with emotionally disturbed children or children with behavioral problems Excellent interpersonal and communication skills Ability to work both independently and as part of a team Strong organizational, time management, and multitasking skills Proficiency in Microsoft Office (Word, Excel, Outlook) and databases Experience in clerical, administrative, or office management functions Experience working with youth, particularly those with behavioral or emotional needs Strong interpersonal skills with the ability to de-escalate and connect with youth in crisis Able to manage time effectively, and stay organized in a field-based role Ability to maintain confidentiality and comply with HIPAA Valid California Driver’s License, auto insurance, and reliable transportation. Ability to maintain required background clearances (FBI/DOJ/CACI) Commitment to diversity, equity, and cultural competency in all interactions CPR/First Aid certification (or ability to obtain upon hire) Bilingual (English/Spanish) preferred Driving RequirementsThis position requires the employee to work and drive out in the community and within foster homes throughout Sonoma County. Thus, access to a vehicle in safe working order is required.
