Administrative Assistant
Team Hogan is hiring a results-driven Administrative Assistant to support office operations, purchasing, field accountability, enhancements, and marketing execution. This role connects the office, field teams, vendors, and marketing efforts into one organized system.
Bilingual English/Spanish is a major plus
This is a responsibility role. You will own tasks from start to finish.
Core Responsibilities
Office, Calls & Leads
Answer all incoming office calls professionally
Return all missed calls promptly
Track and follow up on leads, inquiries, and service requests
Log call outcomes and next steps
Keep communication organized and closed-loop
Office Systems & SOPs
Maintain file cabinets and digital records (clean, current, organized)
Develop, document, and improve Standard Operating Procedures (SOPs) Incorporate AI
Track inventory for office supplies, tools, and project materials
Purchasing & Materials
Purchase materials for landscape enhancement projects
Pick up supplies from vendors as needed
Coordinate deliveries and verify accuracy
Track receipts, quantities, and job allocation
Landscape Enhancements Support
Organize enhancement project documentation and photos
Assist with scheduling and material readiness
Ensure crews are fully prepared before jobs start
Field Accountability & Documentation
Take photos and videos of crews completing work
Check on teams for attendance, job progress, and compliance
Document lunch breaks, locations, and timing
Assist with daily and weekly reporting
Marketing Support
Post approved content to social media
Organize photo/video libraries
Manage door hanger marketing efforts
Coordinate and manage tasks with Virtual Assistant (VA)
Maintain brand consistency across all content
Required Traits
Extremely organized and proactive
Comfortable speaking with clients, vendors, and crews
Confident handling purchases and materials
Strong follow-through and documentation skills
Tech-comfortable (smartphone, apps, photo/video capture)
