Accounting & Finance Manager

Role Overview We are seeking a highly organized, detail-oriented Accounting Manager / Controller to oversee day-to-day accounting operations, invoicing, collections, and payment tracking. This role is critical to ensuring clean books, timely invoicing, and accurate cash flow visibility. You will own the accounting workflow inside QuickBooks, manage accounts receivable and payable, and act as the gatekeeper for payments, reimbursements, and check writing. Key Responsibilities Accounting & Systems Own and manage QuickBooks invoicing, billing, and payment application Ensure all transactions are properly categorized and reconciled Work directly with bank accounts to reconcile deposits, credits, and transfers Accounts Receivable (AR) Ensure all monthly invoices are sent on time Track outstanding invoices and follow up with clients on unpaid balances Apply incoming payments accurately against open invoices Accounts Payable (AP) & Payments Act as controller for outgoing payments and check writing Ensure payments are made accurately and on schedule Maintain clean records of all disbursements Reimbursements & Expense Tracking Track employee reimbursements and vendor bills Ensure all reimbursements are logged, documented, and entered into Excel and QuickBooks Maintain organized supporting documentation Email & Communication Manage and monitor accounting email Respond to accounting-related inquiries from vendors, clients, and internal team members Reporting & Controls Maintain clear visibility into cash flow Support month-end close and reporting Coordinate with external CPA or tax professionals as needed Qualifications 3–7+ years in accounting, bookkeeping, or finance operations Strong QuickBooks Online experience (required) Strong understanding of AR, AP, and bank reconciliation Extremely detail-oriented and process-driven Comfortable working independently and owning outcomes Excel proficiency required Nice to Have Experience in manufacturing, apparel, or services businesses Experience working with multiple entities or high transaction volume Prior experience working alongside a CPA or Controller Job Type: Part-time Pay: $35.00 - $40.00 per hour Expected hours: 20 per week Work Location: In person
