Furniture Design & Project Coordinator
Job Description
Salary : $60,000/year - $80,000/year depending on experience.Mon- Thurs 9-4:30 with an hour lunchBonus at end of year if profitableDesign & Operations Job DescriptionDesign & SpecificationsEvaluate & understand client’s requirement & existing conditions for furniture placement, maintaining ADA requirements (# of seats needed – offices, open areas, conference rooms, wait & lounge areas, etc). May meet onsite & take field dimensions
Make recommendations based on timeline, budget, space & overall needs for furniture lines & products
Create CAD drawing of space– show multiple floor plan layout options with 3d renderings for clarification, including furniture brand/style options, explain thoroughly to client for approval. Requires general knowledge of contract furniture lines.Must be familiar with Giza CAD program & Power Point for presentations.
Once design & layout is approved (may take many revisions), create a budget proposal by pricing out all furniture & workstation parts/pieces, seating w/ fabric grades, etc - include sending RFQ (requests for quote) to installation company for labor estimate. Must be familiar with Microsoft Word/Outlook

Order ProcessingOnce proposal is approved and deposit is paid, evaluate timeline for orders. Some items may take 1-2 weeks; others may take 5-7 weeks. Place orders to arrive within 1-2 weeks of installation date if possible. Must be familiar with Excell spreadsheet
Create purchase orders for each vendor – including all pieces & parts to build per plan, all finish options including colors, hardware & edge details. When Order acknowledgement is received, analyze all details match what the client is expecting & what was ordered. Check for any back orders & make replacements if necessary. Be sure the PO will ship to correct installation warehouse
Follow-up with vendors to be sure they are on track to meet timelines.
After furniture delivery – follow up with any shortages/damages for replacement items
Installation ManagementCreate RFQ (request for quote) – Includes complete & accurate approved plans & specifications, all quantities, installation address, any removal & disposing of existing furniture, stair carry, elevator or weekend details. Try to send 2 different installers. Evaluate which is better for specific client & location
Notify installers when furniture is in transit, headed to their location for delivery
Schedule installation dates based on furniture delivery & client’s needs – confirm furniture arrives in time & the schedule doesn’t require movement
1-2 days before installation – confirm w/ install team & client that everyone is ready. Be sure installers have all current installation plans, correct address, onsite contact, truck parking availability.
Inform client of their responsibilities – remove all existing furniture, electronics, paint/clean. Advise if they need an electrician, power strips/surge protectors. Confirm who from their company will be onsite – get allcontact/access/parkinginfo as needed
Communicate with installers any damages and/or shortages of furniture – be sure all punch work is completed in timely manner
InvoicesAnalyze & approve/edit any vendor & installer invoices for accuracy or damaged product prior to payment
Advise CFO when installations are complete for final invoicing to client#WPB
