HR Administrator

Position SummaryThe HR Administrator provides essential support across all human resources functions, serving as a primary point of contact for employee inquiries and ensuring the smooth administration of HR programs, policies, and compliance requirements. This role is integral to maintaining accurate workforce records and supporting day-to-day HR operations in a fast-paced contracting environment.Key ResponsibilitiesEmployee Records & HRISMaintain accurate and up-to-date employee files, both physical and digitalProcess new hire documentation, terminations, and status changes in the HRISEnsure personnel records comply with applicable federal, state, and local regulationsPrepare employment verifications and respond to related inquiriesRecruiting & OnboardingPost open positions on job boards and company websiteScreen resumes and coordinate interview scheduling with hiring managersManage background check and pre-employment screening processesFacilitate new hire onboarding, including orientation and benefits enrollmentBenefits AdministrationServe as a point of contact for employee benefits questions (health, dental, vision, 401(k), etc.)Coordinate open enrollment communications and process electionsLiaise with benefit carriers and brokers to resolve coverage issuesTrack and administer FMLA, ADA accommodations, and other leave programsPayroll SupportCollect and verify timesheets; coordinate with payroll to resolve discrepanciesProcess payroll changes including pay adjustments, direct deposit updates, and garnishmentsMaintain records related to overtime, prevailing wage, and certified payroll where applicableCompliance & Policy AdministrationAssist with workers' compensation claims administration and recordkeeping (OSHA 300 log)Maintain compliance with I-9/E-Verify requirementsDistribute and track receipt of company policies and required noticesSupport EEO reporting and maintain required postings at all job sitesGeneral HR SupportRespond to employee inquiries regarding policies, procedures, and HR programsAssist with employee relations matters by documenting issues and escalating appropriatelySupport HR projects including engagement surveys, performance review cycles, and training coordinationMaintain confidentiality of all HR and employee informationQualificationsRequiredAssociate's or Bachelor's degree in Human Resources, Business Administration, or a related field, OR equivalent work experience2+ years of HR administrative or coordinator experienceProficiency with HRIS platforms and Microsoft Office Suite (Word, Excel, Outlook)Strong attention to detail and organizational skillsAbility to handle sensitive information with discretionPreferredExperience in construction, contracting, or a field-based workforce environmentFamiliarity with prevailing wage, certified payroll, or multi-state employment lawsSHRM-CP, PHR, or related HR certificationWorking ConditionsStandard office environment with occasional visits to field/job sitesMay require extended hours during peak recruiting or open enrollment periodsMust be able to sit for extended periods and operate standard office equipment
