We are a company dedicated to superior customer service with employees committed to adding value to every client activity.Position SummaryThe Wellness Coordinator is a key member of the HUB International Employee Benefits team who manages the day-to-day operations of client wellbeing programs. This role serves as the central point of coordination—handling client communications, scheduling, vendor and carrier relationships, and event planning (like health fairs and workshops)—to ensure programs run smoothly and align with client goals. They also support higher-level strategy by participating in planning and client meetings, helping shape and support wellness initiatives over time.Essential Duties & ResponsibilitiesProgram Coordination & ImplementationManage the day-to-day coordination of client wellbeing programs, including scheduling, communications, and logistical supportPlan and execute onsite and virtual wellness initiatives such as health fairs, biometric screenings, vaccine clinics, lunch & learns, and educational sessionsCoordinate with vendors, carriers, and internal teams to ensure program delivery is seamless and timelyDevelop and distribute monthly wellbeing communications, resources, and promotional materials to clientsTrack program activities, participation, and key milestones to support reporting and continuous improvementClient Relationship ManagementServe as a primary point of contact for assigned clients, maintaining consistent and responsive communication throughout the yearConduct regular client check-ins ranging from quarterly touchpoints to monthly or biweekly strategy meetings based on service levelBuild and sustain trusted client relationships by ensuring program continuity, responsiveness, and alignment with stated objectivesSupport client onboarding and annual renewals with organized planning documentation and transition materialsStrategy & Consulting SupportParticipate in well-being meetings, contributing insights and recommendations to support multi-year client wellness goals.Assist in the development and management of wellbeing program strategiesProvide vendor selection guidance and evaluation support for clients with vendor-administered programsSupport annual planning processes by compiling data and preparing materialsAdministrative & Organizational SupportMaintain accurate records of client program activities, vendor agreements, and communication logsEnsure all initiatives reflect HUB International values and quality standardsCollaborate with internal teams across the Health & Performance practice to share best practices and support cross-functional initiativesPractice PromotionWork with the National H&P Practice Leaders on best practice development and deploymentCollaborate with Health & Performance teams regionally and nationally to further the practice charter, develop shared content, and drive practice innovation; participate in monthly team calls, sub-committee work, and project supportWill shadow the H & P team and learn to Analyze aggregate carrier data, employee surveys, health risk assessments, and health screenings to assess the needs of the population and develop annual wellness goals.Stay informed on trends, developments, and legislation in the wellness and care management field to make recommended changes and help ensure compliance for clients’ programsDocument client and member testimonials and case studiesUtilize Monday.com database to track all client activity and provide monthly reporting to regional leadershipPerform other related duties as assigned by managerQualificationsRequiredDemonstrated ability to manage multiple client relationships and competing priorities simultaneouslyStrong organizational skills with meticulous attention to detail and follow-throughStrong written and verbal communication skillsProficiency with Microsoft Office Suite and virtual meeting platformsAbility to travel to client sites for onsite events, presentations, and meetings as neededPreferred2+ years of experience in wellness program coordination, employee health initiatives, or benefits administration.
