Event Logistics Specialist
Scope of Position:
Provides a high standard of logistical and administrative support for the successful execution of Fellows, Summer Experiences, and The 3 Initiative trips, retreats, and onsite events. A part of the Event Logistics Team while supporting the Event Logistics Manager.
Reports to: Event Logistics Manager
Job Responsibilities:
Supports the coordination of travel itineraries and logistical support for Fellows, Summer Experiences, and The 3 Initiative trips, retreats, and onsite events.
Works closely with the Event Logistics Manager to ensure logistics and details for experiential learning opportunities are provided.
Assists the Event Logistics Manager with preparing travel itineraries and coordinating travel arrangements for the Executive Director and Cultural Engagement and Student Discipleship Director.
Works in close collaboration with Impact 360 teams and departments to ensure clear internal communication, facilities are reserved and ready for events, and operational support needs are met.
Assists the Event Logistics Manager with the logistics budget for each event to ensure proper stewardship.
Supports the coordination of Impact 360 events and vendors by managing RSVP’s, preparing materials, assisting with logistical arrangements, and assisting with creation of statements of work, as well as vendor and guest coordination for Commissioning Day and Move-In Day.
Assists in maintaining contracts, certificates of insurance, and project agreements for vendors.
Assists in developing and refining standard processes for logistical support services for Fellows, Summer Experiences, and The 3 Initiative events. Assists in orienting staff to these processes and incorporate appropriate feedback and recommend improvements in logistical processes.
Requirements:
An evangelical believer actively involved in a church and living out his/her faith on a daily basis; agrees with the Impact 360 Institute’s Statement of Faith and supports the vision, values and philosophy of Impact 360 Institute, Inc.
Bachelor’s degree or equivalent combination of education and experience in business, communications, logistics, or related fields.
Minimum 2 years of experience in executing logistics, events, or similar roles. Plus clerical or administrative work experience.
Intermediate proficiency in Microsoft Office software (Word, Excel, and Outlook) required.
Commitment to confidentiality and demonstrated ability to maintain confidential information.
Demonstrated superior interpersonal, verbal, and written communication skills.
Demonstrated ability to manage multiple projects and tasks, anticipate needs, track critical details, and problem-solving.
Ability to work independently and as a strong team player under time pressures without loss of poise, grace, or humor.
Ability to travel periodically domestically and internationally, if needed.
Classification: Full-Time (Specialist Level)
FLSA Status: Non-Exempt
Job Location: Onsite in Pine Mountain, GA (Impact 360’s work culture is not full-time remote or hybrid.)
