Job Title: Associate Proposal Writer (Energy / Utilities)Location: Houston, TX 77002Duration: 8 months (possible extension)Pay Rate: $36.23–$39.85/hour (W2)Schedule: Standard business hours (Hybrid – Monday to Thursday)Job SummaryThe Proposal Writer is part of the Proposal Services team and is responsible for developing high-quality, persuasive business proposals. This role combines technical writing with strategic messaging, supporting responses to customer solicitations while collaborating with cross-functional teams. The ideal candidate will create compelling value propositions, manage proposal content, and ensure accuracy, compliance, and consistency across all submissions.Key ResponsibilitiesReview, analyze, and summarize solicitation requirements from sales, marketing, and other channelsLead cross-functional kickoff meetings to define response strategiesPrepare responses for RFIs, RFPs, RFQs, ITBs, and other business proposalsDevelop presentations for prospective and existing customersCollaborate with internal teams (Sales, Technical, Operations, Marketing, Legal, etc.) to gather proposal contentMaintain and expand the proposal content library and templatesResearch, fact-check, and ensure alignment with publicly available company informationConsolidate and edit content from multiple contributors into cohesive proposalsProofread and perform quality checks to ensure error-free deliverablesCreate graphics, diagrams, and visual elements aligned with brand guidelinesEnsure compliance with all solicitation requirements and submission deadlinesManage multiple proposal requests, timelines, and prioritiesTranslate technical and commercial inputs into clear, persuasive messagingHandle administrative tasks such as portal submissions, approvals, and documentationContinuously improve proposal templates and processes based on feedback and best practicesAlign proposal processes with industry standards (APMP)Obtain or maintain APMP Foundation Certification (if not already certified)Required QualificationsBachelor’s degree in English, Journalism, Communications, or related fieldMinimum 4+ years of professional writing experienceStrong written and verbal communication skillsProven project management skills and ability to meet tight deadlinesProficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint)Experience using AI writing tools (e.g., ChatGPT, Copilot) with strong editing judgmentPreferred QualificationsExperience responding to government (federal/state) solicitationsKnowledge of North American gas and power marketsFamiliarity with proposal tools like Responsive, Loopio, or QvidianAPMP Foundation CertificationSkills and CompetenciesExcellent attention to detailAbility to manage multiple priorities in a fast-paced environmentStrong collaboration skills across cross-functional teamsProblem-solving mindset with a proactive attitudeWorking ConditionsOpen office, hybrid environmentOccasional overtime based on project needsUp to 5% travel for internal meetings
