We have raised over $20M from top investors, are seeing tremendous growth, and we’re very optimistic about the future.About This RoleOperations Manager / AssistantFull-time RemoteThe Operations Manager / Assistant reports directly to the Head of Services and serves as a strategic right hand in scaling our Services business, which includes an advice-only RIA and a team of Financial Wellness Coaches.This role is ideal for someone who loves building structure behind the scenes - someone who thrives on creating order, improving systems, and helping a growing business scale with clarity and excellence. You will play a critical role in strengthening our operational foundation so we can serve more clients without sacrificing quality.You’ll oversee day-to-day operations, manage key compliance and billing processes, support and coordinate our 1099 advisors and coaches, and continuously improve workflows, dashboards, and systems. You are energized by efficiency, precision, and proactive problem-solving, and you take pride in helping leaders operate at a higher level.Key ResponsibilitiesOperational Leadership & Team SupportServe as operational partner and right hand to the Head of ServicesOversee daily workflows to ensure alignment, accountability, and consistency across advisors and coaches Manage scheduling, email campaigns, workload tracking, and demand vs. capacity planningSupport onboarding of new advisors and coaches; continuously improve the onboarding experienceBilling & Revenue OperationsOwn the end-to-end billing process, including invoicing, reconciliation, audits, and revenue tracking, automating whenever possibleManage monthly advisor and coach compensation processes Compliance OversightMaintain and manage the compliance calendarEnsure timely completion of filings, annual reviews, quarterly holdings reports, email reviews, attestations, vendor due diligence, and required testingSystems & ScalabilityBecome the internal expert on our tech stack (CRM, financial planning software, billing software, scheduling tools, etc.)Build and maintain dashboards that provide accurate, real-time visibility into performance metricsIdentify inefficiencies and implement scalable process improvementsKPIS + TargetsRevenue growth and operational support of business scaling99%+ billing accuracy100% on-time compliance completionClient satisfaction rating of 4+ stars25% improvement in operational efficiency metricsAccurate, up-to-date dashboards with zero material reporting errorsQualifications2+ years of experience in operations, client service, or administrative support within an RIA, wealth management firm, or financial services environmentWorking knowledge of RIA operations, compliance processes, billing, and advisor workflowsStrong proficiency in Google Sheets (dashboard building required)Experience auditing work for quality and tracking performance metricsHigh attention to detail and strong follow-throughClear, professional written communication skillsAbility to manage recurring operational processes with consistency and reliabilitySalary Range$85,000 -100,000/annual DOEWe want to be as inclusive as possible in our hiring process.
