It’s a hands-on, project-facing position where you’ll sit at the center of operations—supporting engineering, construction, procurement, and field execution teams to keep everything aligned and moving forward.Position OverviewThe Project Administrator plays a key role in supporting project execution by managing documentation, coordinating logistics, tracking materials, and ensuring seamless communication across stakeholders.This position requires someone who understands how projects actually run—someone who can operate comfortably between the office and the field, proactively chase information, and keep teams organized in a fast-paced construction environment.What You’ll Be DoingProject Documentation & ControlsMaintain project schedules, logs, trackers, and documentation systemsManage daily reports, timesheets, and weekly progress updatesTrack RFIs, submittals, and change orders—ensuring timely follow-up with engineering and field teamsPrepare meeting minutes and distribute clear, actionable updatesMaterial Coordination & Site LogisticsCoordinate onsite material deliveries with freight providers and dispatch teamsAct as the central point of contact for incoming deliveries and site personnelMaintain and update material tracking logs to ensure visibility across the projectSupport procurement activities and equipment/material planningCommunication & Team CoordinationServe as a key communication hub between project leadership, field engineers, contractors, and vendorsEnsure accurate and timely distribution of drawings, specifications, and project updatesProactively follow up on outstanding actions to keep the project movingPlanning & Execution SupportAssist with workforce planning, mobilization, and resource trackingSupport project leadership with weekly and monthly reportingHelp maintain alignment between construction progress and project plansQuality, Safety & ComplianceTrack inspections, permits, and compliance documentationMaintain safety records and support adherence to site standardsEnsure all documentation aligns with contractual and regulatory requirementsAdministrative & Operational SupportOrganize and maintain project files, drawings, and digital systemsCoordinate meetings, calendars, and workflows for project leadershipSupport cost tracking, invoice processing, and project reporting where requiredWhat We’re Looking ForRequiredStrong organizational skills with the ability to manage multiple priorities in a fast-paced environmentExcellent communication skills—comfortable working with both field and office teamsProficiency in Microsoft Office (Excel, Word, PowerPoint)Proven ability to follow through, chase actions, and keep teams accountablePreferredExperience in construction, engineering, manufacturing, or industrial project environmentsFamiliarity with project workflows (RFIs, submittals, procurement, scheduling, etc.)Experience with project management tools (e.g., Procore, MS Project, Smartsheet)What Sets This Role ApartNot a standard admin role – this is a “project admin on steroids,” requiring real project awareness and initiativeHigh visibility – you’ll work directly with project leadership and site managementHands-on involvement – exposure to engineering, procurement, construction, and operationsFast-moving environment – ideal for someone who thrives when things are busy and evolvingStrong team culture – working closely with experienced professionals who value capable, proactive individualsWhy This OpportunityThis is a unique chance to step into a critical role at the heart of a live project, where you’ll gain meaningful experience across multiple project functions.
