The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Office of the Vice Provost for Faculty Support and Work/Life promotes the University's commitment to an environment that supports faculty and staff across all stages of their careers and facilitates the pursuit of the academic mission. The Office strives to enhance the experience of Columbia University as a family-supportive institution; promote awareness and utilization of existing Faculty Support and Work/Life initiatives; support recruitment and retention; and improve policies, benefits, services, programs, practices, and culture throughout the University.
Dually reporting to the Senior Associate Director of Faculty Support and Work/Life and the Senior Associate Director of Administration and Planning, the Assistant Director is a key member of the team, working across the Faculty Support and Work/Life portfolio. They are responsible for providing core support in data management, reporting, and communications, contributing substantially to the Schooling and Child Care programming and initiatives, and supporting Housing Information and Referral, faculty recruitment and community-building, and other program areas across the Office. They support event planning and execution, staff events, and assist in the development and dissemination of communication and marketing materials.
Responsibilities
Data and reporting
Support management of third-party customer relationship management (CRM) system, currently SalesForce; maximizing capabilities; produce reports as requested.
Develop tracking systems to monitor service coverage and uptake across schools and affiliate types, including creation of dashboards to monitor faculty and staff engagement and tracking.
In close consultation with Columbia Residential and the Senior Associate Director of Administration and Planning, analyze and maintain data related to housing programming and resources.
Develop reports, graphics, and presentations as requested and in response to and anticipate leadership needs.
Schooling and Child Care
Develop and update resources, coordinate recruit referrals, and facilitate information sharing with schools.
Support the development and planning of programming and workshops to support schooling and childcare consultation work.
Providing direct support to clients as directed.
Programmatic Support
Coordinate recruit consultation and support needs; develop resources and template communications for recruit intake and other process needs.
Develop resources and programming related to housing resources.
Provide operational support for Tompkins Hall or The School at Columbia University, as needed.
Provide support across Office of Faculty Support and Work/Life content areas, as needed.
Workshops and Events
Participate in office-wide event planning and execution.
Staff workshops and events as needed.
Present on Work/Life programming as needed, including at new employee orientations across the University.
Support the implementation of Office of the Provost-wide initiatives.
Communication and Materials
Research and update information and online resources related to Schooling, Child Care, Housing, and other Work/Life areas.
Draft and edit communications as needed across content areas.
Manage preparation of newsletters, social media marketing and outreach, and other communications needs.
Other duties as required.
Minimum Qualifications
A bachelor's degree or equivalent.
Minimum of 3 to 5 years of related experience.
Exceptional attention to detail.
High level of discretion and ability to maintain the confidentiality of sensitive information; consummate professionalism in formal and informal settings.
Ability to work with all levels of administrative staff, faculty, and external constituents; strong interpersonal skills and a commitment to outstanding customer service.
Strong analytical skills, including compilation, analysis, and interpretation of data.
Facility with Microsoft Suite and/or Google Workspace and capacity to learn other programs as needed.
Proficiency with Microsoft Excel and/or Google Sheets, including use of formulas and basic data analysis functions.
Experience with program management and development.
Excellent writing skills, including the ability to write well for various audiences.
Resourceful, creative, flexible, reliable, and collaborative; comfortable taking initiative and working independently.
Able to nimbly adapt in the face of shifting priorities.
Strong organizational skills; excellent time management; the ability to prioritize competing tasks and deadlines.
Responsive to time-sensitive needs outside of normal office hours; available to attend pre-scheduled events outside of normal office hours when needed.
Preferred Qualifications
Experience in higher ed or similarly large, complex environment.
Familiarity with New York City childcare, early childhood education, and/or K-12 school landscape.
Experience working with Salesforce or another enterprise-level CRM, including report and dashboard creation.
Experience preparing reports, graphics, or presentations for leadership, including facility with Microsoft PowerPoint and/or Google Slides.
