DescriptionHuman Resources GeneralistCLASSIFICATION/STATUS: Exempt, Full Time, PermanentImmediate Supervisor: Vice President of Human ResourcesSupervisory Responsibilities: NoneWho You AreYOUR ROLE & IMPACTThe mission of Charles River Community Health (CRCH) is to partner with individuals and families so they can thrive and lead healthier lives by delivering the comprehensive, integrated, and equitable primary healthcare that matters most to them.As part of a dynamic and progressive Human Resources team at Charles River Community Health (CRCH), the Human Resources Generalist will play a critical role to coordinate multiple overlapping responsibilities of the Human Resources Department, with an emphasis on new employee onboarding to deliver an exceptional introduction to the Health Center. The Human Resources Generalist will manage essential administrative and operational priorities in order to meet key project deadlines and achieve organizational growth and objectives.We are looking for someone who is capable of building structures, systems, and processes and enjoys walking into a role where no two days are alike. The Human Resources Generalist will be energetic, adaptable, resourceful, organized, and driven, with exceptional critical thinking and communication capabilities.Your ResponsibilitiesManage new hire onboarding process by communicating regularly with new hires, cross-functional departments, and Payroll. Initiate and ensure completion of all steps in the electronic onboarding process, obtain immunizations, administer background checks, verify I-9 documents, coordinate with recruiters as needed, and design new hire bios.Initiate Epic onboarding for new hires by establishing the framework and appropriate trainings for each profile according to the new hire’s role, in conjunction with the IT and Epic teams. Assist the Epic team in monitoring and updating the status of pending requests.Participate in the planning of New Hire Orientation (NHO), including communication with the new hires and hiring managers prior to and day of orientation, assembly of new hire orientation materials and ID badges, preparation of the room, delivery of T-shirts, etc.Perform post-NHO duties including updating the provider listing on the company website using Wordpress, updating the Org Chart and employee profiles in the HRIS system, sending out new hire introduction email, sending Kiosk time clock codes to new hires, and organizing new hire coffee and conversation event with CEO.Create and maintain paper files and electronic personnel files using SharePoint. Onboard students, interns, and temporary employees. Initiate electronic onboarding process, obtain immunizations, obtain references when applicable, prepare ID badges, and coordinate with other departments as needed.Maintain documentation of departmental policies and processes online. Respond to questions from staff and provide guidance about interpretation of the policies. Provide input on policy revisions.Assist the Leaves Team in administering the leave of absence processes, in collaboration with the CRCH Business Partner and legal counsel, from initial request to return to work, ensuring accuracy and compliance with applicable laws, regulations, and internal policies. Oversee Learning Management System (LMS) Platform, including Mandatory Risk Management trainings and policies as well as new hire assignments. Initiate, track, and communicate all deadlines and deliverables to staff, while reporting completion and compliance data to leadership. Process paperwork for employee changes and separations, including coordination with relevant managers, IT, facilities, and Payroll, in conjunction with the CRCH Business Partner.Report staffing changes to management, including new hires and terminations.Coordinate involuntary terminations. Deactivate access in the HRIS system, and communicate with internal departments. Assist with insurance renewals, maintaining compliance with CRCH’s key funding sources, including the Department of Public Health and HRSA. Manage staff immunization compliance and report the data as needed.Facilitate process and coordinate materials for Health Center audits, including for the Retirement Plan, Payroll, and Worker’s Compensation, as well as the Provider Incentive/Loan Repayment Programs. Manage the Worker’s Compensation process by serving as the onsite liaison for the vendor, obtaining documentation, facilitating and tracking claims, and monitoring payments.Track and report weekly staff COVID-19 cases and exposures and coordinate relevant staff return to work according to approved protocols. Serve as the onsite liaison and back-up for the Credentialing Division, to support credentialing compliance standards and regulations. Serve as back-up for the development and coordination of Provider Contracts and Amendments using CRCH’s ATS system. Process Continuing Education requests and coordinate with Payroll as needed.Send all-staff reminders and follow up on all general inquiries to shared HR email account. Coordinate staff recognition. Communicate staff announcements using the HRIS system and TV displays; mail birthday cards and anniversary cards; coordinate Recognition Day gifts for all departments.Assist in preparing monthly holiday communications.Assist in preparing correspondence for employment verifications as requested by employees and external agencies.Serve as primary liaison for outside HR vendors, including PEO, schools, and worker’s compensation vendor.Provide general support to the HR team, including responding to emails, filing, faxing, formatting documents, distributing mail, and coordinating event logistics. Perform additional projects as directed by the Vice President of Human Resources or designee. Your Qualifications, Competencies, TraitsAssociate’s or Bachelor’s Degree required. Must have a minimum of 2 years of Human Resources experience in a culturally diverse workforce. Must be a resourceful and solutions-driven problem solver and independent worker. Must be adaptable with regard to schedule and work priorities.Must be highly organized, detail oriented, and able to work under pressure while managing conflicting priorities and meeting/coordinating both short and long-term deadlines.Must be able to take visual and verbal information and apply it to paper and practice. Practical experience with HRIS, ATS, and other database management software preferred. Must have strong proficiency in Excel, PowerPoint, Word, and Outlook, SharePoint, One Drive, and MS Teams.Must have the proven ability to collaborate and communicate effectively in both oral and written form with colleagues and external associates at all organization levels.Must believe in CRCH’s mission, with a passion to serve underserved populations.Must be able to travel to both sites, Brighton and Waltham, and miscellaneous local travel.
