Catering & Events Supervisor

Catering & Events CoordinatorThe Catering & Events Coordinator supports the Catering & Events department in the planning and execution of weddings, corporate groups, incentive trips, and private dining experiences. This role works closely with the Assistant Director of Catering & Events and Event Managers to ensure seamless communication, detailed event planning, and flawless on-site execution during peak season.
Event Planning & Support:
Assist with planning and coordination of weddings, corporate retreats, social gatherings, and any
Independently manage select events and private dining programs from turnover to execution as assigned by Director of Catering
Respond to client inquiries and assist with planning communications both independently and in absence of team members
Prepare banquet event orders, timelines, diagrams, resumes, and other planning documents
Coordinate and attend menu tastings and site visits
Maintain accurate client records and event details utilizing software like Delphi, Opera, TeamUp, etc
Act as a liaison between various departments and third party vendors, ensuring seamless communication and coordination
Assist with daily BEO distribution and weekly resume distribution to ensure smooth communication between departments
Run important weekly reports to share event mapping with all departments
Conduct site visits with clients to showcase event spaces and discuss specific requirements.
Onsite support for high-touch events and groups or in team member absence
Qualifications:
Exceptional ability to communicate clearly and with confidence with guests and team members at all levels.
Previous experience in luxury hospitality and events
Editing skills with impeccable attention to detail.
Ability to multi-task and coordinate multiple projects at once.
Ability to remain flexible with work assignments.
Ability to work flexible hours, including weekends when needed
Computer proficiency and experience with: Microsoft Office, Word, Excel. Experience with Opera, Delphi and Prismm is a plus.
Ability to professionally represent the resort and interact with guests, vendors, and team members in a polished, responsible way
