Assistant Practice Manager

Job Summary:
The Assistant Practice Manager for Pediatric Associates of Dayton (PAD) is responsible for the day-to-day operations of the offices located in Beavercreek, Kettering and Englewood. As the Assistant Practice Manager, you will directly supervise the front office employees at all three locations, including interviewing, hiring, coaching, counseling and terminating in coordination with the Practice Manager. You will be responsible for staff scheduling and time and attendance. Collaboration with other departments (e.g. Human Resources, Compliance, IT, finance) may be necessary for matters such as employee relations escalations, HIPAA and Security compliance and training, equipment or account setups, and accounts payable and financial reporting.
Essential Duties and Responsibilities:
Promote Pediatric Associates of Dayton’s brand in a positive manner with clients and community
Model and foster a positive and team-centered work culture; Guide staff to success through focused support and coaching
Lead the staffing process for open front office positions at each practice location, including application and resume review, interviewing, training, and assessing job performance using our 60-day assessment form
Provide input for staff KPIs, performance evaluations, and coaching feedback in coordination with the Practice Manager
Conduct performance and development conversations for assigned staff and following proper documentation and escalation procedures for sensitive employee matters
Collaborate with the Practice Manager to ensure 100% compliance of staff completing action items for benefit enrollment, compliance training, onboarding, offboarding, leaves, and other employee relations matters
Oversee Team Leads’ efforts to provide optimal scheduling and staff coverage including employee work schedules, time off approvals, and other related work schedule/flow duties
Seek out and identify innovative low-cost, high-value recognition strategies to reduce employee attrition; Promote the Company’s Employee Engagement programs within the practices
Collaborate with stakeholders to build action plans, implement remediation strategies, and continuous improvement tactics to achieve the practice’s business goals and metrics
Lead the accounts payable process including accurate coding in a timely manner
Ensure batch deposits are delivered to the local bank branch each day
Provide support to Dayton Children’s Hospital and CareCloud, Inc. related to patient and/or employee pulse surveys to achieve target KPIs (i.e. Net Promoter Score)
Conduct quarterly in-person staff meetings at each practice location to foster open communication with all employees
In collaboration with the Practice Manager, lead the patient complaint process, responses and recommend improvements to achieve patient satisfaction goals
Assist the Practice Manager with facility maintenance and vendor management as appropriate
Serve as a back-up to the Practice Manager in their absence
Other tasks as assigned

Must be able to travel between the three office locations (Englewood, Beavercreek, and Kettering) as needed
Education, Experience and Abilities:
Bachelor’s degree in healthcare administration or other relevant field is preferred; Appropriate experience may be substituted for educational requirements
5+ years of experience in a medical office or healthcare facility preferred with proven experience in office management or similar role; medical office management experience preferred
Strong organizational and planning skills
Ability to work well in a fast-paced, customer-facing environment while maintaining the quality of work
Proficient in computerized systems including Microsoft Suite
Supervisory Responsibilities:
Direct supervision of front office staff
Hours and Work Schedule:
Monday - Friday 8:00 a.m. - 5:00 p.m., after hours as needed
Home office is Englewood, OH – must be able to report to Beavercreek or Kettering offices as needed
