The Billing & Payroll Specialist plays a critical role in supporting office operations through accurate payroll processing, client billing, and financial administrative support. This position helps ensure Care Pros are paid accurately and on time while maintaining timely and accurate client invoicing.The Billing & Payroll Specialist supports operational efficiency by maintaining detailed records, resolving discrepancies, and collaborating closely with scheduling, service coordination, and leadership teams. This role embodies Home Instead’s values of empathy, caring, respect, integrity, professionalism, and community focus while supporting both internal teams and clients with exceptional service and attention to detail.Key ResponsibilitiesPayroll AdministrationProcess semi-weekly payroll accurately and on schedule. Review caregiver hours, missed punches, overtime, mileage, and holiday pay audits. Verify timesheets and schedules for payroll accuracy and compliance. Resolve payroll discrepancies and respond to caregiver payroll questions. Maintain payroll records and documentation. Assist with PTO tracking and payroll adjustments as needed. Client BillingGenerate and process client invoices accurately and timely. Review billing records for missed shifts, authorization issues, and rate discrepancies. Assist with long-term care insurance, VA, or third-party billing processes as applicable. Monitor outstanding balances and assist with collection follow-up. Maintain accurate client billing records and account documentation. Compliance & AccuracyEnsure payroll and billing processes comply with company standards and applicable labor laws. Audit schedules and visit verification records for accuracy. Maintain confidentiality of client and employee information. Assist leadership with reporting, audits, and financial documentation. Collaboration & CommunicationDemonstrate open and effective communication with leadership team, office staff, Care Pros, clients, and family members. Partner with Scheduling and Service Coordination teams to resolve documentation discrepancies. Maintain regular attendance at the office to execute job responsibilities. Perform other duties as assigned. Perform any and all other functions and responsibilities deemed necessary. ExperienceQualifications & Experience2 year(s) of payroll, billing, accounting, or administrative experience preferred. Experience in home care, healthcare, or service-based industries is a plus. Supervisory ResponsibilitiesThis position does not have direct supervisory responsibilities. EducationBachelor's degree in Accounting, Business Administration, Healthcare Administration, or a related field preferred, but not required. Technical SkillsProficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with payroll, scheduling, or client management software preferred. Ability to learn and navigate multiple software systems efficiently. Other RequirementsStrong organizational skills and attention to detail. Ability to maintain confidentiality and adhere to ethical business practices. Ability to manage multiple priorities and deadlines in a fast-paced environment.
