Practice Manager
Job Summary/Objective:
The Practice Manager is responsible for overseeing the daily administrative and financial operations of the practice. This role supervises front desk and billing staff, manages revenue cycle activities, and ensures efficient workflows that support providers and delivers an excellent patient experience. The Practice Manager works to optimize operational performance, improve reimbursement processes, and maintain compliance with healthcare regulations and payer requirements.
Essential Duties and Functions:
Supervise and support front desk and billing staff, including scheduling, training, and performance management.
Oversee daily office operations, ensuring efficient patient scheduling, registration, and check-in/check-out processes.
Oversee revenue cycle operations, including insurance verification, prior authorizations, claims processing, denial management, accounts receivable, and reimbursement.
Monitor insurance reimbursements and accounts receivable to ensure timely and accurate payments.
Address and resolve billing issues, claim denials, and patient account concerns.
Develop, implement, and maintain clinic policies, procedures, and workflows that support operational excellence.
Ensure compliance with organizational policies, payer requirements, HIPAA, Medicaid, Medicare, and other applicable regulatory standards.
Prepare operational, financial, and productivity reports and communicate performance results to Executive leadership.
Serve as the primary liaison between clinic staff, providers, billing, finance, information technology, and external partners.
Lead continuous improvement initiatives that enhance clinic operations, customer satisfaction, and financial performance.
Qualifications:
Bachelor’s degree in healthcare administration, Business Administration, Public Health, Healthcare
Management, or a related field required, master’s degree preferred.
Minimum of five (5) years of healthcare practice management experience, preferably in behavioral
health, community mental health, or outpatient medical practice.
Minimum of three (3) years of supervisory or management experience.
Experience managing medical billing and revenue cycle operations.
Experience with Medicaid, Medicare, and commercial insurance reimbursement.
Experience implementing operational improvement initiatives preferred.
Knowledge and Skills:
Strong understanding of behavioral health clinic operations.
Knowledge of Community Mental Health (CMH) service delivery and Medicaid funding.
Knowledge of CPT, ICD-10, HCPCS coding, and behavioral health billing practices.
Knowledge of healthcare regulatory requirements, including HIPAA and payer compliance.
Strong financial and operational analytical skills.
Ability to interpret and present performance metrics.
Strong leadership, coaching, and employee development skills.
Excellent organizational, communication, and interpersonal skills.
Ability to manage multiple priorities in a fast-paced healthcare environment.
Proficiency with Electronic Health Records (EHR), practice management systems, and Microsoft Office Suite.
