DescriptionAs an Administrative Assistant, your primary responsibility will be to provide administrative support to your assigned team and project a professional company image through personal and phone interaction and inner-office coordination while utilizing sound judgment in recognizing the scope of authority.ACTIVITIES + RESPONSIBILITIES:Promote DDG’s core values, both internally and externally, and comply with the DDG Company ManualAnswer and direct phone callsGreet clients and visitors and direct to appropriate staffKeep a clean work environmentScan project files and accounting files to maintain paperless systemsShop drawing managementSet up proposalsMaintain polite and professional communication with employees and visitorsKeep stock of necessary office suppliesOrganize and schedule appointmentsPlan and assist in meeting setupMaintain filing system organization for respective teams and individual projectCorrespondence preparation: letters, fax, transmittals, etc.Preparation of travel arrangements: flights, rental cars, hotel bookings, etc.Utilize Outlook updates to assist in schedulingCompleting and submitting Expense ReportsAssist office staff with general requests such as running and compiling reportsREQUIRED SKILLS + ABILITIES:Detail oriented and highly organizedProficient in Microsoft Office Suite or similar softwareAttention to detail, organization, and problem-solving skillsExcellent written and verbal communication skillsPhysical RequirementsProlonged periods sitting at a desk and working on a computer.Must be able to lift up to 15 pounds at a time.ApplySubmit resume to the People + Development team via email to careers@ddgpc.comSpecific project experiences and responsibilities shall be provided with resume
