Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.Essential FunctionsPrepares and disseminates information concerning agency programs and services; responds to inquiries regarding rules, regulations, policies, and procedures; and assists in the development of administrative and technical policies and procedures.Prepares, edits, and distributes correspondence, reports, studies, forms, and other documents; performs data entry, retrieval, and data searches; and maintains filing and record keeping systems to include automated information systems and program databases.Assists in the preparation of program training materials; and assists in planning and scheduling meetings and conferences, making travel arrangements, and preparing related documents.Performs a variety of marginal duties not listed, to be determined and assigned as needed.Minimum QualificationsA. Education, Experience, and TrainingGraduation from an accredited senior high school or equivalent or GED.One year full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience.Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs preferred.Knowledge and SkillsKnowledge of office practices and administrative procedures.Knowledge of business terminology, spelling, punctuation, and grammar.Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.Skill to communicate ideas and instructions clearly and concisely.Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.Skill to interpret and apply rules, regulations, policies, and procedures.Skill in problem-solving techniques.Skill to prepare and maintain accurate records, files, and reports.Skill to organize and assemble statistical data.Skill in the use of computers and related equipment in a stand-alone or local area network environment.Skill to type 45 words per minute (with no more than 10 errors) preferred.Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs preferred.Additional Requirements With or Without Reasonable AccommodationA.
