HR/Payroll Assistant
The HR/PR Assistant provides essential support to Generations LLC's Payroll Department to ensure accurate, timely, and compliant payroll processing for 1,000+ employees across multiple states. This role focuses on payroll data entry, reconciliation, and maintaining employee records in multiple systems, while assisting with payroll submissions and compliance tasks. The HR/PR Assistant also provides limited onsite support during peak activities such as open enrollment and audits.
This role is eligible for a hybrid schedule following 90 days of employment.
Essential Functions and Responsibilities of the job include, but are not limited to the following:
Payroll Support
Audit payroll transactions, including new hires, terminations, wage adjustments, and deductions.
Update employee records in stand-alone systems for hires and terms.
Prepare and submit payroll and General Ledger (GL) files to the accounting software.
Assist with resolving payroll discrepancies and employee pay inquiries.
Support year-end payroll activities (W-2 distribution, ACA 1095-C preparation).
Compliance & Recordkeeping
Maintain accurate payroll records in compliance with federal, state, and company requirements.
File employee payroll-related documentation in HRIS and personnel files.
Support audit requests by gathering payroll and compliance data.
Onsite/Project Support
Provide on-site assistance at campuses during open enrollment, audits, or payroll compliance projects (travel required).
Assist HR leadership with payroll reporting, variance checks, and data reconciliation.
Qualifications
Associate's degree in HR, Business Administration, or related field (or equivalent work experience).
1–3 years of payroll/HR experience; experience in multi-state senior living or healthcare preferred.
Experience with UKG, Paychex, Employee Navigator, or other payroll systems is a plus.
Knowledge of FLSA, ERISA, COBRA, and state wage-hour/payroll laws.
Strong attention to detail and accuracy in data entry.
Ability to maintain confidentiality and handle sensitive information.
Sufficient computer skills, including proficiency in Microsoft Office, Outlook, and/or internet to perform required duties.
Excellent communication and customer service skills.
Must be able to travel occasionally between campuses for scheduled events and projects.
Supervision
Must be able to make and keep a scheduled day yet be flexible. Works with the supervisor daily as well as other departments.
Working Conditions
This role is based at our Clackamas, OR home office , with a standard office setting and frequent computer-based work. Hours are full-time and may vary depending on payroll cycles, with some peak periods during open enrollment and year-end reporting. Occasional travel may be required to provide on-site support at other campuses.
