We are currently seeking a People Operations Office Administrator to provide multi-faceted administrative support and assistance for our San Diego, CA office. The People Operations Office Administrator will develop relationships at all levels of the organization and will foster a collaborative team environment and a strong service-oriented culture. The ideal candidate will be a self-starting and passionate individual who demonstrates integrity and strives to perform quality work.
Responsibilities
Office Operations & Maintenance
Ensure efficient day-to-day office operations by maintaining adequate office supplies, restocking inventory, and overseeing office equipment and workspace appearance
Coordinate with vendors, service providers, and building management regarding facility maintenance, service requests and office-related needs
Manage incoming and outgoing mail, deliveries and general office logistics
Assist with workspace organization, meeting room readiness, and overall office functionality
Administrative & Organizational Support
Provide scheduling and logistical support for meetings, training sessions and team events
Support special projects and cross-functional initiatives as assigned
Answer calls and direct them to the appropriate staff member
Handle general inquiries from staff, clients and the public. Serve as the first point of contact for staff and visitors while onsite
Coordinate and schedule internal and external meetings, ensuring that meetings spaces are booked set up appropriately
Assist with preparation and processing expense reports and invoices, ensuring timely submission and payment
People Operations Support
Support onboarding and offboarding processes, including preparing materials, coordinating equipment set up, and maintaining employee records
Assist with updates to HR and Recruiting systems and support date entry related to employee and candidate information
Provide administrative support to People Operations initiates and projects
Employee Experience & Culture
Help coordinate employee engagement initiatives, recognition programs, and company events
Assist with internal communications related to People Operations programs and updates
Serve as a point of contact for general employee questions and direct inquiries to the appropriate resources.
Minimum Qualifications
High School Diploma or equivalent
At least 1 year of experience in an administrative or office support role
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
Strong organizational skills with an ability to prioritize and multitask
Excellent communication skills, both written and verbal
Ability to maintain discretion and confidentiality when handling sensitive information
Physical Requirements

Must be able to lift and carry 20 pounds
Preferred Qualifications
Associate's or bachelor's degree in business administration or a related field
Experience with JAMIS Prime Software and/or Paycom
Familiarity with office management procedures and basic accounting principles
Proactive and independent problem-solving skills
Experience in a Government Contracting setting.

Salary: 45k+ to align with experience and education
