The team develops go-to-market campaigns and supporting materials for government agencies, defense partners, investors, media, and prospective customers. This also includes supporting the company’s presence at conferences, industry events, and customer demonstrations.Role OverviewAs the Communications and Marketing Events Coordinator, you will own the planning and execution of a diverse portfolio of external engagements and VIP visits in this fast-paced, high-stakes environment.Given the technical complexity and strategic importance of CHAOS’ work, events serve as critical touchpoints—whether building team cohesion among our rapidly growing workforce, facilitating seamless VIP customer visits to showcase our autonomous systems capabilities, executing large exhibits for major defense conferences, or coordinating high-level briefings with government stakeholders.This role requires someone who can operate with precision in secure environments, manage complex logistics around sensitive programs, and create exceptional experiences that reflect the caliber of innovation happening within both the Communications and Marketing team, as well as within the broader CHAOS organization.This is a foundational hire. You will shape how CHAOS implements its events strategy, which is tied to a branding, marketing, and business development campaigns.ResponsibilitiesExternal Events & VIP Visits Coordinate logistics for VIP customer visits, including facility tours and field demonstrations, technical demonstrations, classified and unclassified briefings, and hospitalityCoordinate logistics planning and execution for external conferences, such as the annual Association of the US Army (AUSA) Conference or Dubai Air ShowSupport external-facing events such as government customer engagements, media visits, and stakeholder meetingsPartner with Growth leadership, Mission Operations, Executive Assistants, Program Directors, and company leadership to ensure seamless experiences for high-profile guestsManage logistics for secure environments and controlled-access demonstrationsCross-Functional CollaborationWork closely with various departments (Mission Operations, Business Development, Internal Operations, IT, Facilities, Security, Design, Communications & Marketing, Physical Security) to ensure all events are well executedCoordinate with CHAOS Engineering teams to understand technical constraints and requirements for customer-facing events, and to design exhibits for conferencesServe as the primary events resource and point of contact (POC) for all CHAOS employeesPartner with Growth Strategy to integrate events into Growth campaigns targeting revenue opportunitiesOperational ExcellenceEstablish and build relationships with preferred vendors, as the primary POCEnsure vendor quotes are accurate and maintain detailed budgets for all eventsTravel onsite as needed for pack-out, load-in, production, day-of coordination, and load-outHelp create and improve streamlined event processes and procedures specific to division needs and security requirementsBuild and maintain event resource sheets, including preferred vendors and venue contacts with appropriate clearancesMinimum Requirements6+ years of experience in corporate event planningStrong project management skills and creative problem-solving orientation with the ability to execute in complex, fast-paced environmentsDeadline and detail-oriented with exceptional organizational abilities—understanding that precision matters when coordinating events in secure facilitiesAbility to work well in teams and autonomously, taking ownership of projects from concept to completionAbility to visualize event space flow, guest experience, presenter experience, food presentation, appropriate sound levels, and overall atmosphereStrong ability to shift priorities quickly when needed—adaptability is essential in supporting a rapidly growing divisionExperience with Microsoft Office (Word, Excel, Outlook) and communication platforms like SlackMust be a U.S. citizen due to required access to U.S. export controlled information or facilitiesAbility to obtain and maintain a security clearanceWork in-office in Washington, DCAbility to travel, particularly for events ~10%Why CHAOS?Health Benefits: Medical, dental, and vision benefits 100% paid for by the companyAdditional benefits: 401k (+ 50% company match up to 6% of pay), FSA, HSA, life insurance, and moreOur Perks: Free daily lunch, ‘No meeting Fridays’, unlimited PTO, casual dress codeCompensation Components: Competitive base salaries, generous pre-IPO stock option grants, relocation assistance, and (coming soon!) annual bonusesTeam Growth: 250 employees and counting across 5 global officesSalary Range: $100,000 - $140,000The stated compensation range reflects only the targeted base compensation range and excludes additional earnings such as bonus, equity, and benefits.
