**Key Responsibilities** Gather, organize, copy, and distribute all required documentation for customer purchase orders. Coordinate documentation submittals in partnership with Project Managers to meet project and customer timelines. Maintain up-to-date document sources and ensure the latest revisions are available through various channels, including vendor websites, internal documentation libraries, and hard copy literature. Manage documentation workflows and tracking using Smartsheet and other internal systems. Review vendor submittals for completeness, compliance, and adherence to customer specifications. Manage Vendor Data Requirements Lists (VDRL / SDRL): track submittals, review cycles, comment resolution, and on-time approvals. Serve as a liaison between customers, vendors, and internal teams to ensure all documentation requirements are met efficiently and accurately.Qualifications Associate degree with 2+ years of experience in area of responsibility, High school diploma or GED with 5-10 years of experience in area of responsibility. Proficiency with Microsoft office and collaboration tools (Word, Excel, PowerPoint, Outlook, Teams, Groups (SharePoint, OneDrive, OneNote). Experience with interface management software and Electronic Document Management Systems (EDMS). High attention to detail for managing, storing, and organizing large volumes of documentation. Experience with customer-driven documentation requirements (energy, industrial, EPC projects). Familiarity with VDRL/SDRL processes on multi-vendor projects. Understanding of document revision control, transmittals, and approval workflows.
