DEPARTMENT: Physician Practice ManagementFACILITY: Medical Office BuildingWORK TYPE: Full TimeSHIFT: DaytimeSUMMARY:Provides project management support to deliver projects within the established budget and timeline. Cross-trains for assistance with other departments and participates as needed with physician/mid-level provider related projects, including data gathering and statistical analysis. Maintains and updates all administrative databases as well as produce reports as needed. Accountable for overall performance of the ambulatory clinic registration process in collaboration with ambulatory practice managers. Provides ongoing support and training to Ambulatory Patient Access Representatives (APAR) to assist with reductions in errors/denials/write-offs.RESPONSIBILITIES:* Creates and distributes accurate monthly reports of survey data in a timely manner.* Advises senior leadership on changes to regulatory survey requirements and implications* Maintains and distributes call schedules, coordinates coverage as needed* Offers interpretations of scores and helps management identify opportunities to improve* Conducts training of new hires and maintains continuing education to staff and leaders* Conducts daily chart audits for registration errors and opportunities for improvement* Responsible for monthly reports for metrics (ie POS collections, Errors, steering committee and Experian)* Creates and maintains dashboard for front line staff* Coordinate IT functions and services at the practice sites; managing and developing solutions for system problems within the department; testing and implementing system enhancements or upgrades.* Develop working knowledge of operation processes from scheduling to dropping a clean claim, including but not limited Cerner and Athena applications and how that information flows through practice management systems.* Manages the training process for all new registrars in the registration process and provides ongoing training and support to existing registration staff.* Monitors overall department performance for key performance indicators (KPIs) utilizing scorecards and other revenue cycle reports to drive consistent process accountability, address issues proactively and reduce downstream errors/denials/write-offs.* Provides analysis and interpretation of business unit financial and operating reports. Presents reports to managers and directors and may present reports to physicians.* Serves as the Process Improvement Coordinator, assisting Ambulatory and Physician Leadership team members and departments in achieving desired key performance indicators.* Ensure patient registration policies and procedures are standardized, interpreted uniformly and consistently, and systemically applied at assigned locations for physician services* Manages all Ambulatory clinic projects that impact registration including but not limited to :a. Consumer Notification projectb. UCC Artera Appointment Reminder Project including trainingc. Maintain and oversee ECG Projects for ambulatory setting after transition* Keeps abreast of pertinent federal, and state regulations and laws and Tift Regional Health System, Inc. ("TRHS") policies as they presently exist and as they change or are modified.* Understands and adheres to: TRHS' compliance standards as they appear in TRHS's Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy; and HIPAA and TRHS policies regarding privacy and security of protected health information.* Demonstrates the ability to perform tasks that meet the age-specific requirements of the persons, patients, vendors, and staff that the employee is charged to interact with as required by the position.* Offers suggestions on ways to improve operations of department and reduce costs.* Attends all mandatory education programs.* Improves self-knowledge through voluntarily attending continuing education/certification classes.* Maintains required competency levels as identified in written exams, skills checklists, skills labs, annual safety and health requirements as well as service excellence education hours requirements.* Cross-trains in order to better assist co-workers and to provide maximum efficiency in the department.* Volunteers/participates on hospital committees, functions, and department projects.* Manages resources effectively.* Reports equipment in need of repair in order to extend life of equipment and removes malfunctioning equipment out of service with timely reporting to the appropriate personnel.* Makes good use of time so as to not create needless overtime.EDUCATION:* Associate's DegreeOTHER INFORMATION:Or Equivalent work experience. Previous experience in healthcare support and/or usage of Patient Access Services accounts receivable management software preferred.
