Job Title: Business Office Specialist Exemption Status/Test: NonexemptReports to: Director of Business Services Clerical Pay Grade: 6 (230 Days)Dept./School: Business Services Date Revised: April 1, 2026Primary Purpose:Provide comprehensive administrative and financial support for Business Office operations. Work under close supervision and follow established procedures to process employee and student travel, assist in workers' compensation claims, reconcile and process district credit card transactions, coordinate payment of employee benefits, and perform routine accounting and financial tasks. Assist with daily Business Office activities while ensuring accuracy, compliance, and efficiency in all assigned functions.Qualifications:Education/Certification:High school diploma or GED requiredAssociate's degree in business, accounting, or related field (preferred)Special Knowledge/Skills:Effective communication and interpersonal skillsKnowledge of bookkeeping principles and practicesAbility to work with numbers in an accurate and rapid mannerAbility to use computer and software to develop spreadsheets and do word processingProficient in keyboarding, 10-key numerical data entry, and file maintenanceKnowledge of computerized accounting systems, Skyward experience (preferred)Ability to follow oral and written instructions, policies, and proceduresExperience:Three (3) years accounting-related or other related business services experience at clerical levelSchool district and/or other governmental entity experience (preferred)Major Responsibilities and Duties:Business Office SupportProvide general clerical and administrative support for the day-to-day operations of the Business OfficePrepare correspondence, forms, manuals, reports, and payment authorizations following district standards and requirements.Prioritize workflow to address the multiple needs of the department and to meet established deadlinesAssist with annual financial audits by providing requested documentationSupport the district liaison for workers' compensation claims, and maintain accurate and confidential claim recordsAssist in coordination of reporting of injuries and submission of required documentation in compliance with workers' compensation laws and district established policies and proceduresAccounting & Financial TransactionsCompute, prepare, and perform routine bookkeeping, accounting, and financial tasks in automated accounting software and systems.Maintain complete and systematic physical and computerized records of assigned district financial transactions, including auditable records.Review and process high-volume district travel requests for compliance with district established policies and proceduresCoordinate and process payment of employee benefits in collaboration with the Benefits SpecialistPurchasingAssist staff in preparing purchase orders, verifying available funds and authorizations before purchase, and maintaining accounts.Review requisitions for proper coding and preliminary approval, and process fully approved purchase orders.Receive, reconcile, prepare, and process for accurate and timely payment all district credit transactions in a timely and accurate mannerManage daily activities of various district credit cards to mitigate fraud.Other:Communicate professionally and proficiently with district staff, supervisors, third-party administrators, and vendors regarding business office transactions and issue when they arise.Keep informed of and comply with laws, policies, and procedures concerning primary job functions.Work collaboratively with departmental staff and assist with daily business office duties and functions as necessary.Follow district safety protocols and emergency procedures.Have regular in person attendance and comply with notification procedures and district policies for absences.Perform other duties as assigned.Supervisory Responsibilities:None.Mental Demands/Physical Demands/Environmental Factors:Tools/Equipment Used: Standard office equipment including personal computer and peripheralsPosture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twistingMotion: Repetitive hand motions, frequent keyboarding and use of mouse; occasional reachingLifting: Occasional light lifting and carrying (less than 15 pounds)Environment: May work prolonged or irregular hoursMental Demands: Work with frequent interruptions; maintain emotional control under stressThis document describes the general purpose and responsibilities assigned to this job and is not an exhaustive list of all responsibilities and duties that may be assigned or skills that may be required.Reviewed by DateReceived by Date
