About the role As a highly organized and resourceful Office Coordinator this position will support the administrative and day-to-day operations of our Austin, TX branch. The Office Coordinator will play a key role in keeping the office running smoothly, providing general administrative and technology support, assisting with invoicing, and helping with basic HR tasks. This position requires a motivated, detail-oriented individual who takes ownership of their work and enjoys being part of a growing team. What you'll do Provide general administrative support, including answering phones, handling office correspondence, and managing calendars. Assist with invoicing and data entry, ensuring accurate and timely processing of billing and paperwork. Provide onsite technology support with the guidance from IT department at our corporate office. Support basic HR tasks, such as: Scheduling interviews and coordinating communication with candidates. Assisting in new employee onboarding by preparing documentation and orientation materials. Helping with termination processes, including organizing exit paperwork. Manage office supplies and ensure the office environment is organized and well-stocked. Assist in maintaining and organizing files, both physical and digital, to ensure easy access and retrieval. Provide support to office leadership as needed, including scheduling meetings, preparing reports, and assisting with special projects. Act as the first point of contact for visitors and ensure a professional and welcoming office atmosphere. Work closely with the corporate office to support training, communication, cultural and marketing efforts. Maintain confidentiality when handling sensitive information related to HR and business operations. Qualifications Proven experience in office management, administrative support, or similar roles. Strong organizational skills with the ability to multitask and prioritize responsibilities. Excellent interpersonal and communication skills. High level of ownership and accountability, with a proactive, resourceful approach to problem-solving. Ability to work independently with minimal supervision while maintaining a team-oriented mindset. Servant leadership qualities, always willing to support the team and create a positive work environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), with experience in HR and accounting software preferred Familiarity with basic invoicing and general accounting practices preferred.
