Fund Administration Analyst
OverviewThe Wisconsin Foundation and Alumni Association (WFAA)*, the private fundraising and alumni relations organization for the University of Wisconsin-Madison, is seeking a Fund Administration Analyst. The Fund Administration Analyst assist in the development and management of the organization-wide Fund Administration systems; including the related policies, procedures, communication protocol, training, and stakeholder support.Who is WFAA?The Wisconsin Foundation and Alumni Association is a private, nonprofit corporation that encourages individuals and organizations to make gifts to the university and to connect with the UW. WFAA values people and the differences that they bring to the organization, and creates an environment in which all staff members and constituents feel respected and have opportunities to thrive.ResponsibilitiesFund AdministrationServe as the Lead in overseeing the Fund Administration program for the assigned units, including Greater Milwaukee communities foundation reporting. Assist with the develop of fund management procedures and practicesAssist with the creation of standard fund management forms regarding fund closure, fund reinvestment, fund transfers, etc. Assist with the oversight of funds and fund reporting in the Advancement Resources Website (ARW)Provide consistent fund documentation to assist in accounting activities. Serve as a central point of contact for selected campus unitsSet up of new funds and ongoing maintenance of fundsEnsure appropriate access to fund information is available for usersWork with the Director of Fund Services to provide consistent fund documentation to assist in accounting activitiesWork on special projects as directed by the Director of Fund Services. ComplianceAssist with conducting fund audits to ensure appropriate use according to the donor’s intent. Determine if fund name, unit, division, department, use, class and grouping are accurate and reflective of fund documentation for assigned unitsReview fund status for assigned units and discuss proposed fund changes with the Director, as necessary. Review donor and fund file information to determine if fund descriptions are complete and accurate. Document fund changes in the fund file system. Quality Assurance Work with Development staff for assigned units to create effective and meaningful ways to provide fund stewardship:Review fund status and discuss proposed fund changes as necessary. Develop strategies for comprehensive education and communication with campus partners regarding effective fund management and stewardship. Identify funds that are not being spent, may be too restrictive, or where the original intent of the fund cannot be fulfilled and develop strategies for effective utilization. Maintain metrics to track compliance of timely processing for all requests and to ensure internal goals are metSystem integrity - Review funds for accuracy, authorization, and coding. Work with Director of Fund Services to help develop efficient, timely and appropriately controlled policies and procedures. Maintain Fund Administration procedures manualAssist with the development of strategies for comprehensive education and communication with campus partners regarding effective fund management and stewardship. QualificationsRequired QualificaitonsBachelors Degree or equivalent experience2 + years’ experience in an office environment, including a combination of accounting and financial system exposure, fund management or related workOther QualificationsHigh language, high mathematical and high reasoning ability. Microsoft Office experience required, including Excel, Word, PowerPoint, and Outlook. Financial system experience preferred, including general ledger and/or accounts payable applications. Must possess strong communication skills and the ability to interact well with people of diverse backgrounds, skill sets and experience; strong team orientation; as well as an ability to develop working relationships with internal staff, donors, prospective donors, WFAA Board members, and others. Must be able to work on a variety of simultaneous tasks with a high degree of accuracy and attention to detail. Knowledge of financial recordkeeping procedures, regulations and standards. Knowledge of audit policies and procedures. Knowledge of federal and state tax regulations, forms and filing requirements. Must embrace strong collaboration skills, as well as a necessary ability to take initiative and work independently, and be able to meet very distinct deadlines.
