Administrative Assistant
Job Title: Administrative Operations Assistance
Basic Function: Provide administrative support to operations and human resources. Interfaces with managers, property managers, and vendors as needed. Assists with new startups, payroll, training, performance management and operational meetings.
Major Responsibilities:
· Handles office supplies, ordering, and stocking. Manages office daily operations.
· Maintains management and employee contact list in coordination with operations and corporate office.
· Maintains cell phones, mailing, and emergency lists, requested by operations team as necessary.
· Monitors customer work order system, opens and closes them in a timely manner. Follow up with operations for any special request.
· Performs administrative duties for operations, memos, letters, job schedules, reports, calendars, etc.
· Open and closes job tickets as requested by managers in a weekly or monthly basis.
· Assist with monthly periodic schedules based on specific building projects by site.
· Completes application packages for new hires and submits it in timely manager to regional office.
· Reviews operational binders on site to align with company requirements, Updates binders as needed.
· Prepares multiple start-up items for new accounts (SDS books, Bloodborne Pathogen books, Operations Manuals, Logbooks, Labor Law posters, 1st aid kits), pictures and making employee’s ID.
· Reviews employee benefit package and documentation.
· Provides employee orientation to new employees with safety issues and employee policy manual training. Training occasionally monthly as needed at building sites/ campus.
· Verifies and checks social security eligibility and conducts criminal background checks for new employees.
· Assist preparing quarterly business reviews with regional office support.
· Performs copying and scanning for HR as requested.
· Enters inspections and creates reports from CompuClean / Smart Inspect based on performance management inspection reports, distribute materials for management team.
· Personally participate in and promote the processes and programs of UG2 Performance Management System throughout the organization.
· Performs other projects and duties as assigned, bilingual a must.
