Quickbooks Invoicing and Billing Specialist

About The RoleGant Global Services is seeking a detail-oriented Invoicing Specialist to manage end-to-end invoicing for federal government clients and subcontractors in a fully remote environment. This role is hands-on and requires someone who is accurate, self-managed, and comfortable working with QuickBooks, spreadsheets, Microsoft Office 365, and multiple shared email inboxes.Key responsibilitiesCreate, review, and submit invoices for federal government customers and subcontractors in accordance with contract terms and client-specific requirements. Prepare and process invoices in QuickBooks and reconcile them to multiple Excel or Google Sheets tracking files. Monitor invoice aging and payment status; follow up on outstanding invoices to ensure timely collection and accurate accounts receivable reporting. Maintain organized, audit-ready documentation for each invoice, including timesheets, subcontractor invoices, purchase orders, funding documents, and approvals. Actively monitor and manage several shared billing and contract email inboxes to capture invoice requests, approvals, and questions from clients and subcontractors. Coordinate with project managers, contractors, and accounting to resolve discrepancies, correct billing errors, and implement client-specific billing formats or portals. Update and manage detailed tracking spreadsheets for contract funding, ceilings, task orders/CLINs, and subcontractor balances. Follow established invoicing procedures and internal controls to support compliance with government contracting requirements. Performs other tasks and duties as assigned Required Qualifications2 - 4 years of invoicing, billing, and/or accounts receivable experience, preferably in a government contracting or professional services environment. Strong QuickBooks experience (Desktop and/or Online) including invoice creation, adjustments, and reporting. Advanced skills with Excel or Google Sheets (e.g., filters, lookups, pivoting between multiple tabs or files). Exceptional attention to detail and accuracy while supporting multiple contracts, subcontractors, and deadlines. Self-managed and highly organized, with the ability to prioritize work and meet strict billing cutoffs in a remote setting. Excellent written and verbal communication skills. Comfortable working with stakeholders across finance, contracts, operations, and project teams. Experience with federal government contracts/portals. (Invoicing through IPP, Tungsten and/or PIEE portals is highly desirable.)
