SummaryThis position provides administrative support to Brian McCaskill. This role is critical to our member experience and requires a friendly, upbeat demeanor. The incumbent supports the daily operations of the practice, including, but not limited to: answering the phones, meeting/greeting members, handling/distributing postal mail and practice email, ordering supplies, utilizing Thrivent Financial computer systems and programs in support of client relations, and other administrative tasks as assigned. The Administrative Assistant reports to and is employed by Brian McCaskill.This position is part time (20-30 hours a week) working Monday - Thursday (tentative schedule of 9 a.m. to 3 p.m.). Compensation would be $20-22/hr. This is an in person.Job DescriptionPosition Roles/Responsibilities/AccountabilitiesHandles incoming telephone calls to Brian McCaskill and responds to requests for informationPerforms routine administrative duties such as maintaining office supplies and processing mailMarketing coordination and event management (client appreciation events, webinars, workshops, managing social media content)Prepares or coordinates the preparation of routine correspondence, reports, and special projects typically of a routine natureSupports projects, administration of various programs, and processing functions as neededDrive client/member facing activity in the practice by scheduling meetings with client/members on behalf of the practice's Financial AdvisorsUpdate the contact management system with client/member contact and preference informationAssist Financial Advisors in the preparation and follow up for the client/member meetingsTracks practice expenses and oversees the practice bill payingProvides back-up support on tasks that do not require any type of licensing or registration for other staff members, as neededParticipates in the business planning processCompletes other miscellaneous tasks as assignedPosition QualificationsPrevious administrative/secretarial experience desiredPrevious phone experience is a plusStrong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learnAbility to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptionsAbility to maintain integrity of sensitive/confidential informationBasic understanding of Brian McCaskill, our products and services, and Thrivent FinancialCompetenciesPlanning/OrganizingCustomer FocusCommunicationInterpersonal SkillsTeamwork and CollaborationAdaptability/FlexibilityExternal/Internal DependenciesMust be able to work with all roles of the Brian McCaskillMust be able to represent the organization in work with external clientsMust be able to cultivate and maintain relationships with outside organizations
