Job Summary As a Residential Escrow Officer, you'll be the cheerful champion of closing day celebrations!! You will manage all aspects of residential escrow transactions, from paperwork parties to signing shindigs, ensuring every step towards homeownership is a joyful journey. You will work closely with real estate pros, lenders, buyers, and sellers to ensure smooth and timely closings while prioritizing our valued clients' satisfaction and peace of mind. Your primary duties will include prepping and reviewing documents, coordinating with all parties involved in the transaction, disbursing funds, and maintaining accurate records, all while delivering exemplary customer service every step of the way. Responsibilities and Duties Typical duties of the position may include Effectively communicate with customers to process new and existing title orders. Answer phone calls and direct calls to the appropriate department or individual with a courteous and professional demeanor, ensuring prompt and efficient handling of client inquiries and requests Review title commitments Review accuracy investing, insured parties, insured values, and rates as filed. Correlate property description on commitments to surveys, policies, mortgages, deeds, purchase agreements, and other legal documents, ascertaining their accuracy and completeness. Review title requirements as outlined in the commitment and obtain and review proper documentation, such as deeds, mortgage, and land contract payoffs, discharges, trust documents, divorce documents, power of attorneys, probate documents, corporate documents, and other documents pertinent to and required to create a marketable title. Execute closings Explain closing documents to parties involved, answer questions about the derivation of figures on the closing statement and obtain all necessary signatures. Collect and disburse all funds and documents to appropriate parties. Maintain follow-up necessary for the completion of transactions and issuance of policies. Prepare written escrow agreements per the contract or instructions given. Scheduling and coordinating closings with parties involved in transactions. Prepare escrow settlement documents as instructed by the company, lender, attorneys, and purchase agreements, including proration of taxes, rents, and other items as required by instructions. File and record transaction documents for issuance of final policies. Reliable Transportation to travel to off-site locations to perform closings. Driving Requirements This position requires employees to have reliable transportation to drive to client sites, branch offices, court houses, or other business locations using the employee's personal vehicle. A valid driver's license, current auto insurance meeting state minimum requirements, and the ability to safely operate a motor vehicle are required. Work Arrangement This position is assigned to our Houghton Office location, but we offer a flexible hybrid work option. Employees must be available to report to the office as needed and travel within the local service area for closings and other business needs. Skills and Knowledge Working knowledge of residential escrow and title processes, including title insurance, title commitments, closing procedures, and the documentation necessary to produce marketable title. Understanding of underwriter requirements, policy coverage, exclusions, company title and escrow products and services. Ability to accurately review, interpret, and apply purchase agreements, lender instructions, title requirements, legal descriptions, and related real estate transaction documents. Working knowledge of Michigan Land Title Standards, recording requirements, tax proration practices, and applicable federal, state, and local laws and regulations, including RESPA and CFPB requirements. Strong attention to detail and a high degree of accuracy in document review, settlement preparation, prorations, and the handling of escrow funds and disbursements. Excellent verbal and written communication skills, with the ability to interact professionally and effectively with customers, lenders, attorneys, real estate agents, and internal business partners. Strong organizational and time management skills, with the ability to manage multiple transactions, balance competing priorities, and meet deadlines in a high-volume environment. Strong problem solving, decision making, and customer service skills, with the ability to address issues proactively, maintain confidentiality, and contribute to a smooth and positive closing process. Computer Skills Proficiency with Microsoft Office (Outlook, Word, Excel) and comfort working in multiple systems daily. Ability to accurately enter, review, and retrieve information in company systems, including document management platforms. Ability to learn new software quickly and troubleshoot basic issues (password resets, printing, scanning, PDF tools). Experience using a title or escrow production system and preparing or reviewing documents in PDF format Education/Experience Education: High School diploma or the recognized equivalent is required. Experience: Minimum 3 years of experience in the real estate title industry, mortgage industry, banking industry or a combination of education and experience. Licenses Michigan Residential Producer License preferred required or must be obtained within six (6) months of employment. Notary Valid State Drivers Licenses An equivalent combination of education, training, certifications, and relevant work experience may be considered based on the needs of the position and applicable requirements.
