Administrative Assistant to Chief Financial OfficerPosition SummaryThe Administrative Assistant to the Chief Financial Officer (CFO) provides highlevel administrative and operations support to the CFO while coordinating andadministering employee benefits for the organization. This position assists withfinancial office operations, maintains confidential records, supports payroll andbenefits functions, and serves as a liaison between employees, insurance providers,and third-party administrators.Duties and ResponsibilitiesAdministrative Support to CFO Provide direct administrative support to the Chief Financial Officer and financedepartment Prepare correspondence, reports, presentation, spreadsheets, and other financial oradministrative documents Maintain calendars, schedule meetings and coordinate department activities Assist with budget preparation, financial reporting, audits, and data collection Maintain and organize confidential financial and personnel records in accordancewith district policies and state regulations Prepare materials for Board of Education meetings, finance department meetings,and administrative presentations as assigned Respond to inquiries from staff, vendors, and the public regarding finance andbusiness office operations Assist with purchasing, accounts payable, payroll support, and other businessoffice functions as assigned Support special projects and audits as neededEmployee Benefits Administration Maintain current knowledge of employee insurance plans, coverage options,and administrative procedures Process payroll benefit deductions, enrollment change, and discrepancycorrections accurately and timely Coordinate and maintain Affordable Care Act (ACA) compliance reportingRequirements Administer employee benefits programs for NERSBA, including enrollmentand eligibility management Collaborate with district departments regarding employee benefits Process monthly insurance payroll uploads and reconcile benefit paymentrecords Coordinate COBRA eligibility, required documentation, notifications, andpayment tracking Prepare and distribute employee exit benefits documentation for departingPCS employeesAdministrative Assistant Functions-General Duties Maintain effective communication and positive working relationships with alldepartments Perform additional duties and responsibilities as assigned by the ChiefFinancial OfficerKnowledge, Skills, And Abilities Knowledge of general office management and administrative procedures Knowledge of employee benefits administration and payroll processes Knowledge of school district finance operations preferred Ability to maintain confidentiality of sensitive financial and personnelinformation Ability to interpret policies, procedures, and benefit guidelines Strong organizational, interpersonal, and customer service skills Ability to communicate effectively both orally and in writing Proficiency in Microsoft Office applications, especially Excel and Word Ability to establish and maintain effective working relationships with districtstaff, vendors, and the publicMinimum Training And Experience Associate degree in business administration, accounting, finance, humanresources, or related field preferred Minimum of three years of experience in administrative support, finance, payroll,Human Resources, Or Employee Benefits Administration Preferred Equivalent combination of education and experience consideredReports to: Chief Financial OfficerTerm of Employment: 12 monthsSalary: Pay Grade NC 11Physical Requirements / Working Conditions Occasionally lift up to 10 pounds Regularly communicate accurate information verbally and in writing Frequent use of computers and standard office equipment Ability to remain seated for extended periods during work and meetings Ability to move between work locations as needed Visual acuity for reviewing and analyzing data and ensuring accuracy Hearing ability sufficient for normal conversations and detailed communication Work involves data preparation, analysis, and use of advanced office technology Work environment is moderately noisy (e.g., typical business office) Requires interaction with individuals beyond basic instruction exchange Must be adaptable to varying levels of work-related stress
